Overview and Purpose:

S upports individuals, teams and/or departments through facilitating and regulating a series of activities and work streams. Carries out specific tasks based on established procedures, to ensure a broader set of priorities and objectives are met. Primary focus on execution of assigned tasks in a specific area of responsibility, with a non-technical scope and a high degree of customer service.

Primary Objective and Key Responsibilities:

The Licensing Coordinator is responsible for supporting the administration and maintenance of licensing guidelines for the Discovery Link program in the Extended Learning and Community Schools (ELCS) department in regards to business activities, special projects, and complex issues. The specialist will also be responsible for tracking and maintaining a database of all Colorado Childcare Assistance Program approvals for families registered in Discovery Link.

Key Responsibilities:

- Day to day execution: provides administrative support and assists in carrying out specific activities, such as: distribution of materials, process documentation, conducting trainings, organizes and submits reports, coordinates responses, develops procedures, and maintaining records and files.

- Problem solving: assesses and troubleshoots, escalates problems and interacts with stakeholders across the district to resolve problems related to area of responsibility. Exercises discretion to make exceptions to policy. Documents exceptions for compliance record keeping and reporting.

- Collaboration: ensures appropriate key stakeholder involvement in planning, goal-setting, and implementation to achieve buy-in of work products. Ensures purposeful, positive and professional interactions and relationships with all stakeholders.

- Continuous improvement: identifies process inefficiencies and proposes solutions, identifies opportunities through external research on trends in resources, programs, and services and internal research with stakeholders, and supports improvement efforts in order to ensure smooth execution with appropriate participation and support across the district.

Essential Functions:

- Apply current licensing process, methodologies and propose future enhancements. Performs site audits for a safety and quality programming lens. Is responsible for supporting Licensing Manager with responses to Licensing violations.

- Act as coordinator for Colorado Childcare Assistance Program (CCAP) for the Department. Maintain an accurate database of families approved for CCAP assistance and ensure correct billing on a monthly basis.

- Ensure timely processing of licensing requirements for hired and terminated employees. Responsible for keeping all staff files and databases in compliance with Licensing.

- Monitor state licensing requirements and ensure communication of any changes regarding compliance to all pertinent individuals. Responsible for developing content for ongoing staff trainings.

- Efficiently maintain individual ELCS personnel files and database to include licensing, background checks, mandatory trainings, and other pertinent information in accordance with state licensing regulations, district policy and Family Educational Rights & Privacy Act (FERPA) guidelines.

- Efficiently communicate with program supervisors, managers and leadership. Facilitate trainings on licensing rules and CCAP processes.

- Act as primary liaison with the State. Efficiently communicate with the county CCAP offices to ensure payments, billing and family supports. Ensure access to programming for families who have been approved for CCAP.

Education & Experience:

- High School Diploma/GED required, Bachelor's Degree preferred

Knowledge & Other Qualifications:

- Personal transportation to our 44 sites across Denver metro area

- Knowledge with Microsoft Office products including Word, Excel and Outlook

- Effective time management and organizational skills

- Effective communication skills

- Strong attention to detail

- Effectively handle multiple demands and competing deadlines

- The ability to take responsibility for one's own performance

- Work collaboratively with others on a team

- High degree of integrity in handling confidential information

- Knowledge of Google Suites (Docs, Sheets, Slides, Forms)

- Experience navigating and managing MIS (management information system)
