Job Title: Director of Facilities and Operations, Athletics

Period of Service: Calendar year, 225 days; This position requires the ability to work outside the normal work schedule which may include evenings, weekends, school vacations as well as summer hours required for preparation of fall season. Specific schedule will be coordinated between Athletics Director.

Reports to: Senior Director of Athletics

BACKGROUND AND OVERVIEW:
The basis of the Athletics program is to provide opportunities for physical, mental, social and emotional growth where coaches and athletes put forth their best performance in the arena of athletic competition. Commitment, dedication, and responsibility are the major ingredients to the success of the athletic program. It is critical that this department works closely with Headmasters, Principals, and members of the Boston Public Schools community to develop and maintain these programs.

POSITION SUMMARY AND GENERAL RESPONSIBILITIES:
Reporting to the Senior Director, Athletics, the Director of Facilities and Operations, Athletics provides oversight over the programming and facilitation of athletic and/or recreational activities for user groups internal and external to the BPS District. The Director will also support alignment of athletic programming to District and Office of Social Emotional Learning and Wellness (SELWell) strategic objectives. The Director works closely with the Director of Athletics and other District departments to ensure compliance to safety, medical, eligibility, equity requirements and guidelines.

SPECIFIC DUTIES AND RESPONSIBILITIES

Administration, operations, facilities:
  • Oversee the operations, administration, organization, maintenance, inventory, and staffing of athletic training coverage
  • Develop and monitor programming budget(s) for appropriate review and provide recommendations for enhancements and accountability; prepare proposals and reports; supervise and approve daily financial operations as appropriate; adhere to budget; identify revenue sources
  • Develop proposals for the replacement and purchase of project-oriented or broad-based sports related athletic/recreational equipment; oversee development and/or enhance inventory system that ensures equitable, consistent distribution of resources to schools
  • Perform personnel administrative functions (e.g. hiring, counseling, training, supervising, evaluating, providing professional development opportunities, etc.) for the purpose of maintaining necessary staffing, enhancing productivity of staff, and ensuring necessary department/program outcomes are achieved
  • Select, supervise, evaluate, coordinate scheduling and assignments of union and non-union employees, students, interns and other part-time staff (e.g. officials, athletic trainer assignors)
  • Prepare a wide variety of often complex materials (e.g. plans, manuals, budgets, funding requests, etc.) for the purpose of documenting activities and issues, meeting compliance requirements, making presentations, and/or providing supporting materials for requested actions
  • Develop and evaluate the system for handling participant complaints or difficulties and follow conflicts through to resolution; analyze and review performance for enhancement opportunities with a goal of leading the field in the delivery of program
  • Respond to issues involving staff, conflicts in policies and regulations, community concerns, parental requests that may result in some negative impact and/or liability
  • Participate in meetings as required (e.g. workshops, inter and intra district committees, seminars, conferences, etc.)
  • Perform other related duties as assigned by the Athletic Director
Compliance:
  • Coordinate the development and implementation of all best practices and policies and procedures pertaining to Student Athlete Health and Well-Being and adhere to all policies and procedures as defined by the MIAA, BPS, and Athletics including safety, medical, eligibility, equity (Title IX)
  • Support the organization, administration, and maintenance of documentation and record keeping, including the use of electronic medical records for injury tracking and reporting
  • Support development and management of coach requirements: CPR, AED, Concussion Certification and MIAA Coaching Certification on annual basis
  • Conduct coach evaluations; manage, assess, refine performance evaluation system
  • Oversee tracking of schools' accessibility to athletic programming and equipment
  • Adhere, interpret, review, enforce and develop general and program specific safety policies and procedures; support maintenance of certifications, student compliance, safety records, reports, and effective communication with BPS departments and outside agencies including BPS Public Safety Office
  • Work with schools and Director of Health Services on clearance process, student focus; waiver, emergency action plans; ensure processes are in place for appropriate Pre- Participation evaluation and screening of student athletes
  • Work in collaboration with the Equity office to develop and implement policies, procedures and best practices for the high quality athletic programming

Implement and manage a comprehensive 6-12 athletic program for the district:
  • Contribute to development and implementation of the strategic plan for department; assist in the development and alignment of plans for the department and the district
  • Identify and assess current delivery of 6-12 athletic programming and resources; d evelop standards and measurement systems (key performance indicators) for customer satisfaction;
  • Develop management structures and systems to serve school needs and align to Office and District goals; work with school leadership to evaluate, monitor program effectiveness; oversee revision, development and coordination of programming goals that promote social emotional learning, and ensures equitable access to all students
  • Evaluate new/ model programs, curricula, practices, programming methods and materials by researching industry, peer institutions and reviewing suggestions within department; compile and review data from participant/ partner feedback and plan a course of action
  • Manage all End of Season Awards and MIAA Award Opportunities
  • Help coordinate and direct various award ceremonies, banquets and clinics determined by the Athletic Department
Communications: Internal and external stakeholders:
  • Communicate and collaborate with internal and external stakeholders (e.g. personnel, other administrators, school leaders, staff, public agencies, community members, etc.) to effectively interpret and communicate goals of the department and implement and/or maintain services and programs
  • Develop and manage relationships with schools both currently participating and potential participants in Athletic programming
  • Identify, develop, manage partnerships with external partners such as colleges to build capacity of athletic programming;
  • Lead, attend, plan meetings with internal and external partners; represents department and district as assigned by Athletic Director
  • Oversee recognition and awards events

Student and staff development:
  • Responsible for creating a culture/ climate/ environment conducive to high quality athletic programming including focus on Culturally and Linguistically Sustaining Practices (CLSP), closing the Achievement gap, developing growth mindset in students, staff and coaches
  • Work in partnership with the office of SEL to s upport the integration of comprehensive social emotional learning goals into BPS athletic program and community-based programs
  • Support coaches and athletic staff in their professional development efforts through observation, technical assistance, coaching and trainings

REQUIRED QUALIFICATIONS:
  • Master's degree in related field (i.e. education, public health, sports management, business)
  • 3-5 plus years athletic program management experience
  • Ability to develop and implement policy, procedures, systems
  • Knowledge of National Federation of State High School Associations (NFHS) and Massachusetts Interscholastic Athletic Association (MIAA) regulations governing athletics
  • CPR, AED, First Aid Certification
  • Demonstrated completion of MA required annual Concussion Training
  • Strong organizational and management skills with demonstrated experience in leadership, team building, and supervision; ability to build talent, strong teams, parental and local community support and pride in competitive play/games
  • Demonstrated success working with teachers and/or administrators in a leadership and professional development capacity
  • Strong facilitation, communication, interpersonal, public relations skills
  • Demonstrated ability to communicate effectively both in writing and orally, including documentation, record-keeping and correspondence
  • Demonstrated success collaborating with external agencies on the implementation of program and professional development initiatives
  • Ability to work as part of a team and motivate others to meet goals
  • Ability manage budget and personnel and coordinate district functions
  • Commitment to provide equal opportunity in sports for both boys and girls
  • Proficient in Microsoft Office programs including Word, Powerpoint, and Excel; Google Mail, Calendar, Contacts, Drive

PREFERRED QUALIFICATIONS:
  • Master's Degree in related field
  • Experience working within large school district, especially BPS
  • 5-7 years' experience in developing, implementing, and/or evaluating athletic programming
  • Evidence of success in advocating for youth athletic programs by involvement in public relations with the media and with business and community leaders
  • Experience administering, coaching, and/or officiating in an athletic program involving multi-ethnic youth
  • Demonstrated ability in building talent, strong teams, parental and local community support, and pride in competitive play/games
  • Experience managing, analyzing, interpreting, presenting data
  • Knowledge or experience with grant management or grant writing
