Summary:

To coordinate the adoption, purchase, and distribution process of textbooks (new and replacement), to prepare and monitor the textbook budget, to coordinate the strategies for stocked inventory with objectives to minimize annual budgets and maximize availability of inventory. Manages the implementation of inventory management projects to include Lawson maintenance and technology, processes, procedures, district textbook training and follow-up as directed by the Director of Inventory Management. Executes surplus rebalance of over $60 million of district textbook inventory to maximize inventory effectiveness of textbooks. Oversees textbook audit process for school accountability. Supervises and oversees the employees directly working with the Textbook Inventory System and performs other duties as the Inventory Management office warrants

Essential Duties:
  • Supervises the work of the Textbook Audit Clerk and Audit Assistant . Trains, and develops office staff to meet expectations of textbook office to include implementation of textbooks on Lawson ERP system and maintenance of inventory item masters. Coordinates warehouse employee assistance with warehouse management on a daily basis and prioritizes the textbook picking process for warehouse staff as well as employee resource priorities for that process
  • Coordinates all activities of textbook management starting with recognizing and processing textbook requirements to receipt, storage, and distribution of textbooks to satisfy school textbook requirements Directs the ordering and distribution of textbooks from external suppliers and ordering and distribution from NCDPI
  • Establishes textbook accountability procedures and processes in conjunction with Education Services, Operations, Planning and Development, Instructional Accountability, and Finance that will allow textbook office to successfully meet district objective - Every student with required textbooks by the 10 th day of school
  • Administers textbook budget for new adoptions, replacement textbooks and new initiatives which ranges from $12 -$18 million annually, and $60 million of existing textbooks for district.
  • Prepares reports, e.g., quality flow charts, disposal of obsolete inventory, lost/damaged books, training, backorders, correspondence with parents, agreements with suppliers, etc.
  • Directs the activities of physical inventory as required by Lawson financial system to assure accurate reporting of district inventories. This includes child nutrition, art/instructional/janitorial, and textbook inventories
  • Manages service contract with service provided that buys district discards of textbooks. Manages process for out-of-adoption textbooks discard at schools and warehouse to optimize annual receivables from the sell of those discards
  • Creates and maintains training manuals for use with assistant principals who are assigned as textbook contacts at their schools. Plans, coordinates and implements closing school and opening school sessions with all Textbook Contacts annually. Oversees monthly training offerings for new Textbook Contacts and manages all training materials and schedules for Textbook Contact processes and Textbook Lawson Inventory System.
  • Coordinates surplus pick-up at schools, textbook deliveries to schools, and new textbook change-overs in warehouse and school inventory. Works with school contacts to insure proper ordering, monitoring of inventory, and return of surplus books, etc
  • Provides analysis, forecast and history data for developing textbook annual budget which can range $12million to $18million annually. Analyzes shifts in student populations; uses End-of-Grade and End-of-Course testing results to determine impact on titles and quantities of textbooks for each school
  • Implements performance measures in warehouse and textbook office to drive continuous improvement in customer service, inventory accuracy, order fill rates, and turnaround times
  • Maintains master listing for district textbook adopted by course number as outlined in the Equity In Schools Report for the Board of Education
  • Manages obsolescence planning or new item introduction planning for inventory levels associated with revisions in the Standard Course of Study, to include evaluating student books, teacher editions, and ancillary materials
  • Performs related duties as assigned

Education and Experience

Minimum
  • Associate Degree

Knowledge / Skills / Abilities:
- Minimum of three years experience with the ability to effectively and efficiently work with deadlines associated with curriculum changes and textbook adoptions
- Ability to communicate and negotiate with external textbook suppliers
- Excellent written and oral communication skills
- Ability to work with Operations, education Services, Finance, Planning and Development, and Quality Management to continuously improve the textbook adoption, budgeting, inventory management, and school-based forecasting
- Experience with continuous improvement programs and team oriented planning and execution

Physical Requirements:
- Skills requiring repetitive motor coordination with finger dexterity part (up to 4 hours) of a normal work shift
