Position Summary: The Culture Operations Assistant (COA) plays a key role in creating a welcoming, professional and efficient front office and serves as the focal point for communication by mail, telephone and in-person for the Principal. The Culture Operations Assistant is responsible for greeting and documenting all visitors including signing in visitors, ensuring that students only leave with authorized parents/guardians, monitoring and controlling access to the school, managing the mail, distributing received mail, preparing school mailings, making mail drops, etc.

The Culture Operations Assistant will also ensure the smooth operations of the school’s Culture Office, with an emphasis on data entry, creating data reports, logistical support, parent/guardian communication, and general Culture Team support.

The Culture Operations Assistant reports directly to the Director of School Operations.

Culture
  • Model strong, mutually respectful relationships with scholars and families and support teachers and staff to do the same
  • Build positive relationships with students while holding them accountable for being in full uniform, in class and their behavior
  • Thoroughly reviewing the school’s culture protocol and executing the steps to ensure the school day runs smoothly
  • Ensuring that each student’s phone is collected upon entry and they are scanned into the building
  • Assist in ensuring the overall school safety for adults and scholars
  • Assist in supervising student entry/dismissal, transitions, lunchroom, Hallway sweeps, and hallway duty as needed under the direction of the Leadership Team
  • Assist in maintaining adherence to the school code of conduct and uniform policy
  • Escort adults and scholars from the main entrance, to their designated destination
  • Assists with planning various school events, workshops, and celebrations. Including: monthly student attendance celebrations, monthly parent events, and workshops
  • Other duties as assigned

Operations:
  • Responsible for coordinating and reporting all teacher coverages and substitute support
  • Accept phone calls directed to the Principal. Screen calls, evaluate the nature of call and resolve or re‐direct.
  • Maintain Principal’s voicemail, as requested by the Principal, and scheduling of appointments
  • Process and direct documentation to staff from the Principal.
  • Any other duties as directed by the building Principal.
  • Respond to student, parent and staff inquiries and act in the absence of Administration

Knowledge, Skills and Abilities Required
  • Excellent communication skills with diverse constituents (teachers, parents, children, board members); clear writer, facilitator and public speaker.
  • Team player: maturity, humility, strong work ethic, follow-through, sense of humor, willingness to respond positively to feedback and a “roll-up-my-sleeves” attitude.
  • Ability to make administrative/procedural decisions and judgments.
  • Organizing, communicating and coordinating skills.
  • Ability to analyze report cards, transcripts and high school graduation requirements.
  • Ability to use independent judgment and to manage and impart confidential information.
  • Ability to work effectively with diverse populations.
  • Ability to develop, plan, and implement short- and long-range goals.
  • Skilled in the use of computerized database programs.
  • Ability to provide leadership and guidance to students and families.

  • Create and proofread professional correspondence to staff, students and families.
  • Participates in meetings, workshops, and seminars for the purpose of conveying and/or gathering information required to perform functions.
  • Use effective strategies to communicate with a variety of audiences
  • Use appropriate interpersonal styles and methods to guide individuals and groups toward task accomplishment.

Education & Qualifications
  • High School Diploma required /Associate’s Degree Preferred
  • At least 1 year of experience, preferably working in an urban school setting
