The Chicago Public Schools (CPS) has set ambitious goals to ensure that every childin every school and every neighborhoodhas access to a world-class learning experience from birth, resulting in graduation from high school, college- and career-ready.

Within the Office of Diverse Learner Supports and Services (ODLSS), the Coordinator, Business Operations, will be responsible for facilitating, coordinating, and providing support for all business units and special projects. The Coordinator will be tasked with ensuring that work flows and processes are efficient and running smoothly, managing minor projects, and providing as-needed support to the business operations staff.

This position will ensure that business practices provide CPS with sustainable internal operations which impact greater student achievement and success.

The Coordinator, Business Operations will be held accountable for the following responsibilities:

  • Manage day-to-day agency nursing operations as agency nurse contact, assisting nurse coordinators in staffing and assigning nurses to schools

  • Responsible for creating vendor Purchase Orders, reviewing and approving weekly invoices for 6 nursing vendors, 2 OT vendors and 1 PT vendor, submitting invoices to Accounts Payable, and receipting in Oracle

  • Enter weekly attendance in SPS Systems for all CPS clinicians throughout ESY

  • Enter weekly attendance in SPS Systems for CPS Clinician Extended Day hours

  • Submit overtime pay information into Kronos for CPS nurses who ride the bus with students

  • Request, obtain and distribute Kronos ID's to agency staff.

  • Verify the credentials of all agency and Charter-hired clinicians. Assist in ensuring agency and

  • Charter-hired clinicians are trained in Service Capture. Create access in all CPS internal systems, including CPS student information databases for all CPS-hired clinicians, agency staff and Charter-hired clinicians

  • Create CPS User IDs in Rapid Identity for Charter Staff, Agency staff, and interns and re-certifying users as needed to maintain access to systems

  • Assist Clinical Managers in identifying vacant position numbers to assign to future staff, complete staffing recommendation forms for future CPS clinical candidates and collaborate with

  • Talent and Staffing on the progress of incoming clinicians onboarding

  • Perform initial phone screens on potential nurses for internal employment upon submission of candidate application and resume, submitting results to Nurse Coordinators for interview recommendations

  • Monitor CPS IT Service Request Database Service Now and resolve requests as assigned

  • Update the Clinical Intern Registration packet yearly and collaborate with Safety and Security on updates to the clearance process. Inform Clinical Managers on the clearance of upcoming interns.

  • Frequently collaborate with ITS, Accounts Payable, Timekeeper, Talent, Staffing, Safety and Security, Procurement and Budget

  • Act as backup on the ODLSS phone line



In order to be successful and achieve the above responsibilities, the Coordinator, Business Operations, must possess the following qualifications:

Type of Education Required :

  • Graduation from an accredited college or university with a Bachelor's degree.



Type of Experience and Number of Years :

  • Minimum of 2 years work experience in a coordinating role; prior CPS experience, system knowledge, and/or Individual Education Program (IEP) experience is a plus.



Knowledge, Skills, and Abilities :

  • Ability to successfully manage multiple tasks requiring minimal supervision while adhering to quality standards

  • Ability to work in a fast paced environment, respond immediately to multiple constituencies and meet continuous critical deadlines

  • Strong analytical, organizational and excellent oral/written communication skills required

  • Providing exceptional customer service to all stakeholders

  • Ability to communicate effectively with all stakeholders and deliver content expertise in a professional manner.

  • Expert user of Microsoft and Google suite of tools. (Word, Access, PowerPoint and Excel)

  • Knowledge of CPS systems (Oracle, PeopleSoft, IMPACT, Kronos/TKC) is a plus

  • Attention to detail and accuracy



Residency Requirement:

  • As a condition of employment with the Chicago Public Schools (CPS), employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district.
