    Job Focus: To assist the Business Manager in all fiscal matters of the district.
    FLSA Status: Exempt
    Line of Supervision: Responsible to and evaluated by the Business Manager.

    Duties and Responsibilities:
  • Assumes responsibility for the Imprest and activity funds.
  • Develops and maintains proper records relating to all purchases, so that up-to-date inventories are available for future planning.
  • Assumes responsibilities for all bank deposits and keeps track of NSF checks.
  • Assumes responsibilities for filling out all official forms (state, county or federal), for food service including monthly lunch program reports.
  • Completes financial reporting forms required by federal, state or county agencies.
  • Performs all preparation for payroll and payroll-related reports.
  • Performs all credit union deductions, labor union deductions, and other association deductions.
  • Completes all monthly, quarterly reports for IMRF, federal and state income tax.
  • Keeps records of all deductions made by employees and has them fill out proper forms.
  • Verifies that all payroll checks from Township Treasurer are correct.
  • Keeps records of all over-time, extra duty pay and arranges for payment.
  • Assists in verification of salary placement of staff.
  • Balances and reports all special district funds to Treasurer’s office.
  • Reconciles bank statements each month.
  • Performs duties as assigned regarding the Federal Food Program.
  • Maintains district property appraisal records.
  • Maintains proper records of all financial activities and makes them available for audit by the appropriate agencies.
  • Compiles all data necessary for the development of the annual budget.
  • Makes copies of the budget available to the press, all board members, administrative team and interested citizens.
  • Prepares and distributes federal and state (both Illinois and Indiana), wage and tax statements (W-2) of employees.
  • Prepares the federal and state (both Illinois and Indiana), wage and tax statement (W-3), for all employees, and files with appropriate agencies.
  • Maintains information for employees concerning other pay, deductions, pensions, insurance and other benefits.
  • Prepares the annual reports relating to retirement, and unemployment compensation.
  • Act as the representative of District 168, to any hearing held by a state agency on an unemployment claim filed against the District.
  • Keeps accurate salary, wage and employee benefit records on all current and all past employees. Supply appropriate information concerning employment history to proper agencies, if authorized to do so.
  • Assists and coordinates the district’s food service program.
  • Develops and coordinates all risk management programs for district personnel. Also, insures safety of all students/staff, while on school property.
  • Coordinates the Health Insurance Programs and keeps records of same.
  • Guards the confidentiality of all information which may come through this office. Breach of this trust shall be grounds for dismissal.
  • Performs any other such duties as assigned by the Business Manager.

  • Minimum Qualifications:
  • High school diploma/Associate/advanced degree (preferred).
  • Working knowledge of office procedures and computer equipment programs/software.
  • Secondary training in typing and at least two years job experience.
  • Such alternatives to the above qualifications as the Board may find appropriate.

  • Terms of Employment: 12 month position. Salary and benefits as determined by the Board of Education.
