Position Summary:

The Office of the Inspector General (OIG) serves as the investigative watchdog of CPS. The OIG is seeking to hire an office manager. Under the direction of the Inspector General, in a supervisory nature, the office manager will oversee and direct staff performing personnel processing, payroll activities and administrative functions and provide a wide range of executive and administrative support to the OIG.

Essential Duties and Responsibilities:

  • Supervise a staff of professional and clerical personnel engaged in performing all office, administrative and personnel operations

  • Perform administrative and file-management functions

  • Prepare and process paperwork to effect the hiring of employees

  • Oversee, prepare and process personnel forms to implement personnel actions

  • Participate in developing and implementing departmental work rules and procedure

  • Plan, coordinate and develop employee orientation, staff trainings and other professional development activities

  • Provide information and respond to employee inquiries regarding benefits, pay and personnel rules

  • Act as a liaison with other CPS departments regarding the processing of personnel and payroll actions and the administration of personnel programs

  • Coordinate work efforts with the CPS Talent Office on matters relating to classification, recruitment, employee selection, hiring procedures, and other areas of personnel administration

  • Prepare staffing and payroll cost reports and assist in the preparation of the OIG's personnel budget

  • Prepare various reports on personnel and payroll activities for use by management

  • Organize and oversee maintenance of files, correspondence, policies and procedures and other materials in accordance with document retention policy

  • Develop and maintain document retention and destruction schedules in accordance with CPS policy

  • Respond professionally and courteously to telephone calls, visitors, correspondence and other outside inquiries, appropriately resolving and/or routing individuals to the proper CPS personnel or department

  • Assist with the planning, organizing and administration of special projects, new programs and other services as requested

  • Perform additional ad hoc duties as assigned



Knowledge and Skills Required:

  • Strong interpersonal skills and the ability to work with staff at all levels in a fast paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism

  • Superior organizational, time-management, analytical, problem-solving and conflict-resolution skills

  • Demonstrated ability to prioritize tasks, manage multiple deadlines and work independently while maintaining high levels of organization

  • Refined judgment with the ability to manage highly sensitive and confidential information



Minimum Qualifications:

  • Bachelor's degree from an accredited college or university, preferably with a degree in Human Resources Management, Business Administration or a directly related field, plus two years of professional personnel experience, or an equivalent combination of education, training and experience



Residency Requirement:

As a condition of employment with the Chicago Public Schools (CPS), employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district.
