The Winnetka Public Schools District 36 seeks a District Coordinator & Registrar.
JOB TITLE: District Coordinator & Registrar
LOCATION: District Administration Office
CHARACTERISTICS: Full-Time Classified employee, 12-month contract
REPORTS TO: Executive Assistant to the Superintendent & School Board
SUPERVISES: In some cases, those individuals assigned to provide additional office support
EVALUATION: Evaluated annually by the Executive Assistant to the Superintendent & School Board
OVERVIEW OF THE POSITION
The District Coordinator & Registrar will oversee new student enrollment, the annual online registration process and provide administrative support for District operations.
RESPONSIBILITIES/DUTIES
ESSENTIAL JOB FUNCTIONS:
1. Welcome Visitors and conduct security check-in for District Office
2. Answer phones, transfer calls and deliver fax communications received
3. Sort mail, assist with bulk mailing projects
4. Register new students and process intake information
5. Assist with annual online enrollment set-up and ongoing maintenance and reporting
6. Track and update enrollment data
7. Update District outreach email lists
8. Process requests for after-school District facility usage and process-related billing
9. Maintain District calendar of events/activities
10. Process field trip and intramural bus requests
11 Assist Superintendent's Office with various administrative tasks
12. Any other tasks as assigned
OCCUPATIONAL REQUIREMENTS
1. FBI Fingerprint clearance required.
2. Mandatory District-wide Compliance Training, as assigned.
3. Secretarial experience and school district experience preferred.
4. Background in data base applications and Microsoft Office applications; prefer experience in utilization of other software systems such as Skyward, Frontline and PowerSchool
5. Must have excellent verbal and written communication skills.
6. Must demonstrate excellent technical and computer competencies, specifically in word processing, data base and spreadsheet programs.
7. Must demonstrate excellent customer service skills.
8. Must demonstrate excellent office coordination skills such as organization, problem-solving, multi-tasking, statistical record keeping, bookkeeping, prioritizing and the like.
EDUCATION/VOCATIONAL PREPARATION
High School diploma or equivalent. BA preferred. Previous experience in office or similar work setting required.
PHYSICAL REQUIREMENTS
Moderate degree of physical stamina with occasional lifting of 10 to 15 pounds. Ability to move freely to various locations within office and school settings. Frequent standing, walking, sitting, and bending. Frequent repetitive activities including hands, arms, and legs for clerical related work. Exposure to noise and activity of a school setting.
TERMS OF EMPLOYMENT
Entry level starting salary is $23.03/hour but may vary commensurate with experience.
