Position Overview
The Executive Assistant (EA) will be a key partner to our Chief Research, Data, and Innovation (RDI) Officer, providing administrative support and managing the Chief RDI Officer's time with incredible efficiency to maximize impact. In addition, the EA will partner with and provide administrative and scheduling support to five additional leaders on the RDI Leadership team. The ideal candidate will demonstrate that s/he possesses a mature, professional demeanor, and is a self-starter who takes initiative and thrives in a fast-paced, tech-enabled environment. S/he is a great relationship builder, has strong systems for managing work, prioritizes ruthlessly, and is expert at "seeing around corners" by anticipating upcoming needs and conflicts and resolving them. S/he is a clear, effective communicator in-person, on email, and via text/chat comfortable with fast deadlines and quick turnarounds. The EA will be an exemplar of professionalism, integrity and confidentiality.

Key Responsibilities and Duties
  • Manage the complex and high-demand calendar of the Chief RDI Officer
  • Provide administrative support for the Chief RDI Officer, e.g.
    • Coordinate travel arrangements including air travel, hotel accommodations, conference registration and ground transportation services
    • Manage expense reporting
    • Oversee RDI team expense reporting and invoice coding to ensure timely reimbursements / payments
    • Arrange logistics for meetings (catering, technology, supplies, etc.)
  • Provide as-needed calendaring and administrative support for the RDI leadership team - comprised of leaders of KIPP's national High School, Insight & Analytics, IT, KIPP Through College, and Research & Evaluation teams
  • Manage or assist with ad hoc projects and provide additional support as needed
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.

Experience and Qualifications
  • Associate or Bachelor's degree preferred, but not required
  • 5+ years of experience in an administrative role supporting a senior executive managing a large team with multiple direct reports
  • Comfort /experience working with a distributed team in a virtual environment
  • Demonstrated ability to maintain confidentiality, exercise discretion and display good judgment
  • Experience approving and submitting expense reports, invoices and time cards
  • Advanced skills in Microsoft Outlook
  • Familiarity with Microsoft Word, Excel and Power Point
  • Experience with AnyBill, Concur, ADP, video conferencing systems a plus.

This is a full-time exempt position based in Chicago, may have up to 5% travel.
