TITLE: Registrar/ Receptionist Early Childhood Dept.

HIRING SALARY RANGE: $17.00 per hour - $20.40 per hour

POSITION SALARY RANGE: $17.00 per hour - $25.50 per hour

SUMMARY OF JOB DESCRIPTION:

Welcome and provide information to parents, staff and community members visiting the district office with a strong emphasis on customer service. Utilize an adequate and efficient system for maintaining confidential records; coordinate and direct registration activities, including compilation and distribution of registration data. Maintain an accurate and up-to-date student databases. Perform clerical and secretarial duties to support internal and external communication.

SUPERVISED BY: Director Early Childhood Dept.

ESSENTIAL JOB ELEMENTS:
  1. Serve as receptionist for the Early Childhood Offices in Eagle and Avon (e.g. phone calls, visitors, primary contact). Three days at the Eagle Office and two days at Avon.
  1. Perform general secretarial duties (i.e., filing, word processing, coping, scheduling, office management, confirmation of appointments), as directed by Dept. Director, Family Service Team, Office Manager and site staff.
  1. Maintain accurate student and family records, which include sensitive and confidential information in the areas of attendance, receiving, distributing, recording, and filing of all permanent student file information (including, as necessary, during summer).
  1. Maintain accurate records regarding the entry and/or withdrawal of students. Data entry and assist with beginning and year-end enrollment reports, including the on-line registration process for all families.
  1. Compose, type and edit routine correspondence, reports and update lists.
  1. Assist in Eligibility determination, Recruitment, Selection, Enrollment and Attendance tracking (ERSEA) as mandated by the Head Start and Colorado Preschool requirements.
  1. Sort and distribute Early Childhood mail.
  1. Maintaining information and files, including but not limited to family files, parent committee meeting notebooks, student count documentation, attendance, etc.
  1. Maintain Power School student database. Attend applicable training classes and share information with staff. Train co-workers as necessary.
  1. Process and accurately input data into web based systems.
  1. Assist in compiling, maintaining and distributing various work that needs to be done including data for monthly reports as well as reports required at the beginning and end of each school year.
  1. Update, publish and distribute parent communication documents.
  1. Perform other duties assigned by the principal/assistant principal/counselor.

QUALIFICATIONS:
  1. High school diploma or equivalent.
  2. At least two years previous secretarial experience.
  3. Effective communication and interpersonal skills.
  4. Excellent customer service skills with both internal and external clients.
  5. Strong knowledge of computer: keyboarding, database, spreadsheet and word processing.
  6. Documented completion of at least 2 specialized technical courses (or acquire within 6 months of hire).
  7. Successful experiences working with confidential information in an office setting.
  1. Problem-solving capabilities and ability to work with minimal supervision and direction.
  2. Strong organization and record keeping skills and systems.
  3. Ability to prioritize and effectively manage time.
  4. Bilingual capability preferred.
