Chicago Public Schools is seeking a Student Records Coordinator assist in the daily, monthly and annual functions within Former Student Records. Perform all work in accordance with records management work practices and procedures. Generates reports, handles multiple projects, and prepares and monitors records requests. Manages inventory of all archived records of former students. Helps with the process of maintaining accurate student graduation lists and the annual creation of diplomas for all Chicago Public Schools.

As a condition of employment with Chicago Public Schools (CPS), employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district.

Perform all work in accordance with records management work practices and procedures. Generates reports, handles multiple projects, and prepares and monitors records requests. Manages inventory of all archived records of former students. Helps with the process of maintaining accurate student graduation lists and the annual creation of diplomas for all Chicago Public Schools.
Key Responsibilities:
- Generate former student records, including all high school transcripts, elementary school registration cards, verification of graduations, immunization records, and verification of births for internal and external parties.
- Maintain an organized inventory of all records at all times.
- Assist in setting fee schedule and collect revenue from records/verification requests.
- Receive graduation lists from schools and review for accuracy.
- Coordinate the production of all elementary and high school diplomas for Chicago Public School students.
- Coordinate with Records Management Department (Law Department) to provide retrieval of archived IEP records to schools and authorities as needed.
- Coordinate with Records Management Department (Law Department) to ensure the proper storage of newly added archived records.
- Assist in special projects for the Department of Finance as required.
- Generate special reports as needed.
Type of Education Required:
- Associate's degree
- Bachelor's Degree highly preferred
Type of Experience Required:
- 1 year of compliance and records experience in a large decentralized organization.
Computer Skills:
- Microsoft Office: Word, Excel, PowerPoint, and Access
- Adept user of internet, E-mail, and other office automation systems
