ABOUT THE SCHOOL/DEPARTMENT

Sheridan Green Elementary is a Preschool-5th grade neighborhood school and Gifted and Talented Center School. Teachers at Sheridan Green are committed to working collaboratively with multiple grade level teams in PLCs and in grade level planning meetings. Systemic practices are highly valued and implemented with fidelity. All staff members and students use Thinking Maps to support critical and creative thinking in all content areas. Write from the Beginning and Beyond is our systemic writing program, which is utilized in kindergarten through 5th grade.

RESPONSIBILITIES

SUMMARY: Collaborate with the building administrator to coordinate, organize, and manage the daily activities, financial transactions, and personnel of the elementary school in addition to serving as the public relations liaison with the community and school-related individuals. Assist with the care, safety and welfare, and discipline of students.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Review, understand and administer Board/District policies and Financial Services Guide procedures. Serve as a business and budget resource to the principal, faculty, student and parent organizations. Explain financial, accounting and purchasing regulations and policies.

Organize, monitor and maintain all school accounting and financial records including periodic financial statements and accounting reports. Prepare, interpret and present reports on all school financial matters as required to various groups and individuals.

Maintain job skills to keep pace with changing technology and internal systems, primarily computer systems. Participate in district offered training classes in order to maintain job skills.

Manage all school financial transactions including: warehouse orders/receipts, cash income, bank deposits, petty cash, requests for payment, purchasing, reconciling with PeopleSoft reports, school/team budgets, and grant monies

Develop and implement internal procedures for the approval of orders and payments following the procedures in the Financial Services Guide.

Process purchase orders for supplies, equipment and/or purchased services for instructional, front office, student activities and/or athletics in accordance with District policy. Prepare request for payment for supplies, equipment and/or purchased services for instructional, front office, student activities and/or athletics in accordance with District policy. Prepare journal entries and budget transfers.

Prepare all vouchers, requisitions, purchase orders and district p-card orders for grant funds. Understand and follow accounting requirements specific to each grant. Monitor expenditures on grant financial reports.

Manage and reconcile district p-cards for your location.

Coordinate the physical inventory,

Distribute and reconcile petty cash.

Collect, receipt and deposit all revenue from special events and all money transactions from students, parents, vendors and staff. Collect and manage returned checks.

Organize, coordinate and conduct the registration process. This includes student fine, collection, fee payments, and school material distribution.

Answer telephone, greet and assist visitors (i.e. District personnel, substitutes, vendors, parents, etc.) and assist teachers and other staff as needed.

Assist and advise the administrator with site-based decisions including financial and personnel matters.

Generate personnel action forms in addition to creating, monitoring and managing school personnel files, time entry reports and documentation, job request and descriptions, staffing information, statistical aide hours, substitute verification and aids in the interview process.

Direct participants and documentation in the discipline process and implement conflict mediation with students and parents.

Prepare correspondence, staff and student handbooks, schedules, opening/closing procedures, bulletins, newsletters, reports, invitations, agendas and minutes of meetings.

Provide sick care, emergency attention, and first aid to student and staff. Administer medication to students as prescribed by doctor according to district policy.

Assist in organizing special events, meetings, assemblies and field trips.

Act as the main public relations liaison for people contacting the school. Explain District policies and procedures and school guidelines to students, staff and the public.

Coordinate the master calendar and building use.

Coordinate the maintenance of equipment, training of staff on use of equipment, and troubleshooting equipment malfunctions.

Attend staff and committee meetings and District meetings/training.

Communicate with community organizations (PTA, Accountability, OASIS, Parks & Recreation, Rotary, Kiwanis, etc.) and individuals for welfare of the staff, students and parents. Update voice mail bulletin board.

Perform other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required, plus technical courses in business, finance, bookkeeping, accounting, and/or computers equivalent to up to one year of college. Required to complete district medication administration and health room back up training within first month of hire. Annual training also required.

EXPERIENCE: 2-3 years total experience in finance, bookkeeping, and large computer financial systems. Experience in a school setting or with school accounting preferred.

SKILLS, KNOWLEDGE, & EQUIPMENT: Requires math, accounting, and bookkeeping skills as well as oral and written communication and interpersonal skills. Must have the ability to handle multiple tasks and deadlines and the ability to maintain confidentiality in all aspects of the job. Operating knowledge of and experience with computers, office software (Microsoft Office - Word & Excel), Internet, e-mail and general office equipment is required as well.

CERTIFICATES, LICENSES, & REGISTRATIONS: First Aid and CPR Certificate highly recommended.

SUPERVISION/TECHNICAL RESPONSIBILITY: May be responsible for assigning, directing work, and training secretaries, sub-secretaries, clerical staff, paraprofessionals, and/or student aides in the office. May also have input into hiring and discipline processes. Spends less than 50% of time conducting supervisory responsibilities. Act as a departmental resource for staff.

CONTACTS: Daily contact with persons within/outside department/building, students, parents, vendors/suppliers, general public, applicants, and/or District advisory committees to maintain relationships, resolve problems, and negotiate matters. May involve routine and/or confidential matters.

SAFETY TO SELF AND OTHERS: Low to medium exposure to self to repetitive motion injuries due to key boarding. Low exposure to self to cuts and bruises due to typical office accidents.
