This Executive Secretary supports the Superintendent in all functions related to the daily operation of the Danbury Public Schools, serving over 11,500 students and nearly 2,000 employees. The Executive Secretary to the Superintendent is most often the first interaction between the District and all stakeholders in the school system, members of the surrounding community, all other state and local goverment, political, education and business leaders, and the media. As such, the successful applicant must possess exceptional communication skills, high level of respect for confidentiality and diplomacy, as well as strong organizational and executive functioning skills in order to provide high level administrative support and to most appropriately represent the Superintendent and the District in a variety of circumstances.

REPORTS TO: Superintendent of Schools

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Manages all communications with the Superintendent in a variety of formats, which can include answering the telephone, responding daily to telephone calls and messages, greeting visitors, and responding to written and electronic requests for information in all formats. In this role, promotes effective communication and builds positive relationships between the District and members of the public.
  • Schedules appointments and keeps appointment calendar. Coordinates meetings and appointments with members of the Superintendents' Leadership Team in Central Office.
  • Oversees all inquiries and concerns from the public, and prioritizes and reassigns to appropriate administrators for response and resolution.
  • Composes correspondence on behalf of the Superintendent, from notes and/or dictation, and can independently compose correspondence, depending on situation.
  • Upon request, gathers and assembles information for Superintendent's use and evaluation by coordinating with other Central Office and District wide leaders.
  • Coordinates district business, meetings, registration and travel arrangements for the Superintendent.
  • For the Board of Education, coordinates the gathering of agenda items, finalizes written agenda, posts and distributes meeting agendas to all members and necessary administrators for twice monthly meetings and all associated sub-committee meetings, as required by law. This function requires a high degree of accuracy and efficiency in communicating with the Chair of the Board of Education and all related stakeholders, as directed.
  • Acts as Recording Secretary for Board of Education, under the Board of Education Bylaws at Section 2-5. Publishes, maintains and files all Board of Education meeting minutes as required when completed by the designated corresponding secretaries and serves as reference authority for same.
  • Upon request, provides support to the Board of Education for scheduling, coordinating, and organizing all other meetings related to their duties, including but not limited to expulsion hearings, negotiations, public events, and the annual retirement recognition for District staff.
  • Establishes and maintains an organized filing system.
  • Assists in the management, organization and oversight of District media, including coordinating relevant content for the District website, Facebook page, and other related media.
  • Performs special assignments and other related duties as directed by the Superintendent.


QUALIFICATIONS:
  • Excellent communication skills, both written and oral. Demonstrated experience with a variety of word processing and office suite platforms preferred, including but not limited to Microsoft Word, Excel, Google platforms. Experience with large student data systems, such as PowerSchool, transportation software, and Frontline (Aesop, Applitrack) preferred.
  • Heightened respect for confidentiality and diplomacy.
  • Exceptional executive functioning and organizational skills, in order to manage multiple, complex projects in a time sensitive environment.
  • Administrative/public relations experience or similar demonstrated skills preferred.
  • Computer/word processing skills.
  • High School diploma required, with supplemental education preferred. Coursework with an emphasis in English, communications, public relations, community education or business administration preferred.
  • Minimum of five (5) years experience in a secretarial position with significant responsibility.


Terms and Conditions:
This is a 12-month, exempt position, for which the terms and conditions are negotiable but shall include the following:
Starting salary negotiable based upon experience and credentials, minimum $60,000 per year. Health and welfare benefits and paid time off (PTO) shall be provided on the same terms as to other similar employees.
