Great Oaks Legacy Charter School in Newark is seeking an entry-level to mid-level Executive Assistant & Project Coordinator to work in a fast-paced environment, supporting the Executive Director and our growing network of schools.

Responsibilities

The Executive Assistant & Project Coordinator will be successful in the following areas:

Communication:
  • Assist with internal and external correspondence, drafting communications and developing sophisticated presentations for multiple stakeholders including the board, vendors, school staff, parents, and students.Act as liaison on behalf of the ED and other departments/staff within the organization.Manage incoming requests by prioritizing, researching and responding to or delegating responses as needed, ensuring seamless communication between teams with real-time progress updates.Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.Conserve ED's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.Coordinate visits to GOLCS by community partners and other stakeholders.Maintain staff, family and stakeholder confidence and protects operations by keeping information confidential.

Scheduling/Coordination:
  • Assist with managing the highly demanding schedule of ED on a daily basis, ensuring schedule is executed in a timely manner with all prep documents ready and reviewed in advance.Maintain ED's appointment schedule by planning and scheduling appointments, meetings, conferences, teleconferences, and travel.Represent the ED by attending meetings in the ED's absence.Record, transcribe and distribute meeting minutes and action items, e.g. Senior Leadership Team meetingsMaintain an organized and up to date expense management system.

Special Projects & Event Planning:
  • Assist with special event logistics as needed (school tours, off site meetings, staff meetings, school events, etc.) and address a variety of audiences with a knowledgeable and friendly demeanor.Organize, manage, and provide administrative support for special projects.Prepare reports, presentations and other documents, by collecting and analyzing data.Support marketing, public relations, and community outreach efforts as needed.Coordinate and complete projects and tasks as requested by the ED to further the mission of the school, following up on results.Contribute to team effort by accomplishing related results as needed.


Qualifications and Skills

The Executive Assistant must:
  • Believe every student has the ability to succeed.Be relentlessly committed to the mission of preparing every student for college.Possess strong leadership and team skills.Have superb organizational and self-management skills and be able to handle multiple responsibilities effectively; have strong planning and execution skills; be a goal-oriented and effective problem-solver

Candidates qualifications:
  • 1-3 years of professional work experience, strongly preferred.Excellent planning, leadership, management, and communication skills.Strong analytical and problem-solving skillsExcellent skills of organization and follow-throughA strong academic record, including a bachelor's degree from an accredited universityA relentless work ethic and commitment to achieving the school's mission.Ability/willingness to travel between Great Oaks Legacy campuses and some off-site events.


Staff and Reporting Relationships

The Executive Assistant will report directly to the Executive Director and support the Senior Leadership Team.
