OVERVIEW:
The Office of Expanded Learning Opportunities is looking for a full-time Project Coordinator to join our team. We are a small team that manages a large array of programming including 21st Century Community Learning Centers and Massachusetts ELO grants management, 5th Quarter (summer learning), Acceleration Academies (February & April vacation programming), Online and Blended Learning, and BPS Homeschooling. The Expanded Learning Opportunities (ELO) Project Coordinator will support the Expanded Learning Opportunities Team with ELT/after school grant management support (40%), 5th Quarter/Summer Learning/Acceleration Academy support (40%), Homeschooling support (10%), and general team support (10%).

Grant Management Support (40%)
ELO Project Coordinator will manage or assist the district coordinator with the following tasks for 21st Century Community Learning Centers (21st CCLC) and MA ELT grants:
Data Submission
  • Student Academic Youth Outcome (SAYO) survey data
    • Updating survey format in surveymonkey
    • Monitor and update sites on submission rates
    • Compile data into state submission format
    • Assist with data analyses and creation or sharable results
  • Student Attendance
    • Monitor site's attendance reporting in Google Sheets
    • Pull/compile attendance data for state submission
  • Site program activity forms
    • Facilitate and monitor site submission of program forms
Hiring and Payroll
  • Facilitate hiring and payroll, including submission of bi-weekly/monthly teacher stipend payments
  • Submission of EAE contracts & payroll
Purchasing
  • Manage purchasing, tracking & invoicing of supplies for programs
Grant Reporting/Submissions
  • Assist Grant Manager with editing and formatting of grant applications and reports
    • Current site continuation grant submissions
    • New site grant submissions
    • Exemplary site grant submissions
    • ASOST-Q, summer, or other enhancement grant submissions

5th Quarter (Summer Learning) / Acceleration Academy Support (40%)
ELO Project Coordinator will support 5th Quarter and Acceleration Academies with the following tasks:
Partner BPS Application/RFP
  • Assist ELO Program Managers in the development of the yearly Summer RFP
  • Assist in the management of back-end support for Summer Program Applicants
  • Assist in the tracking and scoring of summer program applications
Summer Learning Support
  • Facilitate staff timekeeping, payroll and hiring for summer programs
  • Assist with the purchasing & distribution of summer materials to programs
  • Facilitate budget transfers for program supplies to Summer Learning Academy schools
  • Monitor student attendance
  • As needed, field phone calls and emails regarding summer programming
Acceleration Academies (AA)
  • Assist ELO Program Managers in the management of the yearly AA application process
  • Assist in the management of back-end support for Program Applicants
  • Facilitate staff timekeeping, payroll and hiring for Acceleration Academies
  • Facilitate budget transfers for program supplies to Acceleration Academy schools
  • Monitor student attendance
  • As needed, field phone calls and emails regarding Acceleration Academies

BPS Homeschooling (10%)
ELO Project Coordinator will:
  • Manage Homeschool application process, including:
    • Homeschool application submissions & approvals
    • Student database
    • Year-long curriculum plans submitted by families
    • End of Year Assessments
  • Manage communications to families, regarding:
    • Submission deadlines
    • Upcoming events
    • General homeschool support resources
    • Homeschool website
  • Manage communications to BPS and state departments, regarding:
    • Homeschool approvals
    • District-based services

Office of Expanded Learning Opportunities General Support (10%)
ELO Project Coordinator will support the Office of Expanded Learning Opportunities generally by:
Hiring & Payroll
  • Manage team member time keeping and submit bi-weekly payroll
  • Assist in posting new positions and processing new hires as necessary
Office of Expanded Learning Opportunities Website
  • Compile information and complete updates for the team website
Supplies & Purchasing
  • Manage purchasing and distribution of supplies for team
Administrative Tasks
  • Calendar and communications support
  • Event management and logistics
  • ELO communications, including incoming and outgoing mail, phone, and visitors

Qualifications:
  • Passion for elementary and secondary education
  • Bachelor's degree or equivalent or higher
  • Experience working in an office setting, preferably within Boston Public Schools
  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • Proficiency in Microsoft Office Suite and G-Suite

TERMS: Managerial Tier B, This position is subject to the City of Boston residency requirement.
