Job Summary

Provides administrative support work in assisting district administrators in planning, coordinating, monitoring, and facilitating administrative actions and processes.

Position Specific Duties

Accounting
  • Maintain Monthly Ledgers for W/Comp & Liability Accounts
  • Review/Audit Bank Statements & Check Registers
  • Track Recovered Funds and Reimbursements
  • Coordinates with Accounting for all transactions to be recorded in GL 6410/6620

Workers' Compensation
  • Participate in Claims review sessions with Risk Mgmnt staff and TPA adjusters
  • Assists w/completion of accident/incident reports
  • Fax, file & maintain work comp claims


Check Requests/Payments
  • Create check requests for State of Fl Financial Dept, Actuarial firm's generation of Annual Actuarial Report, Bank of America's Letter of Credit
  • Generate Wire Transfer requests to fund W/C & Liab Accts
  • Review & send Defense Atty billing for payment @ TPA
  • Initiate payments to TPA for Claims Management All Lines

Reporting/Documentation
  • Create Average Weekly Wage (AWW's) Documents for TPA W/Comp
  • Prepare AWW's & Remuneration documents for Defense Attorneys
  • Coordinate & manage generation of Annual Actuarial Report between Agencies
  • Provide SI-17 & SI-5 reports to State of FL Financial Dept
  • Maintain Spreadsheets for W/C & Liab Claims for Board Policy Report 7.9
  • Prepares and maintains records of dept data
  • Create/update SOP's for new procedures or enhancements
  • Maintain and Update Inflatable Vendor's Lists for the District
  • Respond to Internal & External Auditor's Requests

Vendors
  • Review Insurance Certificates for Approval of Vendor Contracts
  • Reviews and Approves/Disapproves Contracted Vendor Insurance Coverage

Experience:
  • DCPS SAP - Financial Accounting System, Employee Database, and Payroll History
  • DCPS Business Services' CAFR and AFR
  • Working with governmental agencies
  • Reconciling Bank Accounts
  • EXCEL Spreadsheets and Power Point

Knowledge and/or Experience:
  • Encumbrances/Expenditures
  • Workers' Compensation program
  • Florida Statutes governing Workers' Compensation
  • Liability Loss programs
  • Debt Management/Budgeting

Qualifications

Education/Experience: Four (4) year combination of education, training, and experience in administrative work or related area.

Certifications & Licenses: Depending upon assignment, a valid Florida Driver's License may be required prior to appointment and must be maintained during employment in this class.

  • Knowledge of administrative practices, methods, and procedures relating to administrative support areas

  • Strong word processing, spreadsheet, database, diagramming, and/or presentation software skills
