IDEA Public Schools' (IDEA) choice to expand into Greater Houston centers on the fact that thousands of families in Houston lack access to high-quality, tuition-free public schools that provide a transformative education for their children and pave a path for access and success in college.

More than 250,000 children in Greater Houston currently attending a low-performing school and that is unacceptable. The scale of this problem requires more seats and more great schools in our communities of need. Our first two campuses, IDEA Spears and IDEA Hardy are located in communities where families lack access to a concentration of A and B rated schools.

Fully cognizant of the need across the Greater Houston Area, IDEA Public Schools will launch with a commitment to open our first four schools in 2020 and follow with an ambitious growth plan to grow to 20 schools by 2025-26 and ultimately serve 15,000 students once fully enrolled.

Role Mission: The IDEA Spears team seeks a business clerk (bilingual in Spanish and English preferred) that wants to roll up his/her sleeves and support our school with family-facing work to support our student recruitment and family onboarding efforts. The mission for the business clerk is to serve as a financial steward for his/her campus. This includes managing $600K-$1.4M across two school budgets, procurement through purchase orders and leader purchase cards, and managing school-based activity accounts central to local fundraising. Business Clerks are essential to ensuring students and staff have the resources they need to accomplish our ambitious student achievement goals.

During the 2019-20 school year, the business clerk will play a much more active role with student recruitment which will include non-traditional hours, including nights and weekends.

Accountabilities:
  • Supports the IDEA Spears team to ensure 100% of Applications collected by lottery (3:1 ratio for K, 1 st , 2 nd and 6th)
    • Provides hands on support for student recruitment efforts, including but not limited to outdoor events, fairs, sports, bazaars, tabling, canvassing and open houses that focus on meeting families with school-aged children within the 5-mile radius immediately surrounding their school
    • Supports team to ensure that all new families are effectively on-boarded beginning with Welcome to IDEA , home visits and other events before the first day of school (FDOS).
    • Supports Principal and APO by taking notes during meetings, entering lead forms in Stream, writing thank you notes and managing contact follow up
    • Leads logistics and admin support for all application efforts.
  • Supports IDEA Spears team to achieve 100% Projected Enrollment for Academy and College Prep by first day of school
    • Partners with Assistant Principal of Operations to create a communication system to keep families engaged and informed about IDEA Spears events and updates.
    • Maintains and manages inventory of all marketing materials: flyers, enrollment forms, event information, and answers to frequently asked questions for IDEA Spears and IDEA Public Schools
    • Organizes all communication tools used to support recruitment and enrollment via a system easily accessible by all IDEA Spears team members
    • Copies materials and/or orders printed materials on Brand Aid to ensure there is always a supply of all documents at hand
    • Communicates effectively with campus lead team and campus ops team to ensure all documents to support recruitment are current
  • 90% New Family Persistence [February to August]
    • Supports efforts with planning and implementation to ensure every child accepted into the lottery receives a home visit from the school principal or assistant principal of operations.
    • Monitors and reviews with APO, parent and student feedback, particularly as it relates to non-instructional services and support
    • Provides administrative support to school team during the onboarding of new families
    • Answers phone calls with a smile and commitment to get families the information they need.
  • Build and manage school budgets.
    • Submit 100% accurate campus discretionary budget requests overall and by fund in IDEA's enterprise resource planning system, Tyler Munis, by April 4, 2019.
    • Manage $600K-$1.4M in Principal discretionary budgets which support student and staff across both schools of a campus. Ensure school leaders are informed regarding the financial state of their school through consistent monthly check-ins and robust report sharing.
    • Reconcile negative discretionary budget accounts by the 8th business day every month.
    • Partner with the Financial Planning Team to accurately forecast results by school to ensure local financial goals are met and schools end the year with a surplus or on target.
  • Procure goods and services in compliance with IDEA policies and procedures.
    • Enter 100% of requisitions in Tyler Munis within two business days of the initial request from campus staff.
    • Ensure timely vendor payments by receiving 100% of all goods or services in Tyler Munis within one business day of delivery and include all appropriate documentation such as packing slips.
    • Procure all goods or services with an approved purchase order (with the exception of purchase card expenses).
    • Reconcile all assigned purchase cards by the 2nd business day of the following month. Ensure all corresponding purchase card receipts are shared by the 3 rd business day of the following month and include an accurate transaction summary report.
    • Assist school leaders in delivering training sessions to campus staff regarding procurement policies and procedures, including student travel for field lessons, short-term rentals, and food for students and staff.
  • Manage local campus and student activity accounts.
    • Support precise fundraising balance reporting by submitting accurate and complete cash receipt documentation for all campus and student activity fund deposits by the last day of the month.
    • Enter 100% of local account requisitions in Tyler Munis within two business days of the initial request from campus staff.
    • Assist school leaders in delivering training to campus staff regarding campus and student activity fund policies and procedures.
    • Ensure all staff managing fundraising efforts have completed cash handling training.
  • Complete an annual physical inventory.
    • Locate and scan 100% of campus capital assets and 90% of inventory items by the provided deadline.
    • Tag all new assets with a per unit cost greater than $1,000 with the correct label.

    Qualifications:
    • Education: HS diploma or GED required
    • Experience: 1-2 years of accounting experience preferred
    • Bilingual preferred: English/Spanish

    Knowledge and Skills:
    • Knowledge of basic accounting procedures.
      Ability to utilize Enterprise Resource Planning System databases and analyze data in Excel.
    • Ability to communicate effectively communicate financial goals, recommendations and results.

    Compensation:
    • Salaries for this role typically fall between $16 and $20 an hour, commensurate with relevant experience and qualifications.
