With great attention to detail, this multifaceted position is responsible for the timely and accurate entry of information related to new hires and existing employees into the division's payroll management system from multiple sources. In addition, the position performs internal auditing of employee pay records throughout the year, designs reports, and runs queries to retrieve data from the system.

  • Process and maintain all employee pay information originated by the Human Resources Specialist responsible for staffing positions as well as other administrators (i.e. supplemental duty pay).
  • Calculate and enter initial leave load for new employees and adjust records as needed.
  • Review and validate all information prior to and after entry for accuracy.
  • Run various reports to audit system records and investigate any discrepancies.
  • Research and resolve daily problems; report findings to supervisor and/or Human Resources Specialist.
  • Scan employee information into electronic files.
  • Develop and provide reports and information upon request; respond to questions in a timely manner.
  • Develop and prepare employee work calendars annually.
  • Prepare and distribute annual contracts for employees.
  • Design and implement new processes to improve the efficiency of the hiring and data entry process.
  • Perform other duties as assigned.
Must have excellent computer skills and a general knowledge of the philosophies, principles and practices of public personnel administration; must have the ability to establish and maintain effective working relationships with other departmental officials, supervisors and staff; prepare and maintain detailed and technical records; research, collect, organize and analyze data; create and prepare technical reports and recommendations; and prioritize a variety of projects/tasks and produce quality work; must have the ability to articulate technical problems and work towards a resolution; must be detailed oriented, have excellent oral and written communication skills and have the mathematical skills necessary to perform various complex calculations; must act in a professional and confidential manner; must be able to work flexible hours; must be able to work with MicroSoft Office Products including Excel and Access databases.
High School Diploma required, Associate's Degree preferred. Experience working with and designing databases, as well as creating and generating reports, preferred. Knowledge of Crystal Reporting a plus.

Salary Range:

Unified Experience-Based Step Pay Scale: Grade 13

Salary will be based on creditable years of full-time, verified work experience. Entry Level salary will be awarded at the time of hire. Upon the return of the Employment Verification Forms from the candidate's current and previous employers, the salary will be adjusted if creditable full-time experience is confirmed.
