    JOB DESCRIPTION:
    Under the direction of the Director of Human Resources, attends to visitors and deals with inquiries on the telephone and face to face. The receptionist supplies information regarding the organization to the general public, clients, and customers.

    DESIRED QUALIFICATIONS:
    • High school diploma required
    • Sixty (60) college credit hours preferred
    • Associate's degree in office management/secretarial studies preferred
    • Knowledge of administrative and clerical procedures
    • Knowledge of computers and relevant software application
    • Knowledge of customer service principles and practices
    • Proficient keyboarding skills
    • Ability to work a switchboard/telephone system

    DUTIES AND RESPONSIBILITIES:
    • Answer telephone, screen and direct calls
    • Take and relay messages to appropriate staff
    • Provide information to callers
    • Greet persons entering organization
    • Direct persons to correct destination
    • Deal with queries from the public and customers
    • Ensure knowledge of staff movements in and out of organization
    • Monitor visitor access and maintain security awareness
    • Prepare basic correspondence and documents
    • Receive and sort mail and deliveries
    • Schedule appointments and maintain appointment diary either manually or electronically
    • Organize conference and meeting room bookings
    • Coordinate meetings and organize catering
    • Control office inventory relevant to reception area
    • Tidy and maintain the reception area
    • Update all address changes in District Information System
    • Compile/maintain directory of district employees, including by location
    • Perform other related duties as assigned by the Director of Human Resources.
