RESPONSIBILITIES

SUMMARY: Responsible for all written translation and oral interpretation work orders submitted by Jeffco staff to Translation Services. Requires highly developed organizational skills and ability to multitask in order to complete all job duties while maintaining high customer service standards and processing work orders in a professional, efficient and friendly manner. This position involves working as a collaborative member of the Translation Services team. Must have a broad knowledge of Jeffco Schools and district departments as well as the linguistic diversity represented in the Jeffco community.

ESSENTIAL DUTIES AND RESPONSIBILITIES in the following. Other duties may be assigned.

Receive and process work orders for written translation and oral interpretation requests for multiple languages.

Respond to and direct incoming calls, emails and work orders for written translation and oral interpretation requests for both standard requests and in emergency situations; and assist customers, answer questions, and direct calls to appropriate department staff.

Decision-making may require independent judgment and/or collaboration with supervisor, colleagues, and administrators.

Properly and accurately configure work orders based on established and documented processes.

Work with teammates in fulfilling and scheduling requests.

Process work orders to contracted vendors following established processes to fulfill written translation and oral interpretation requests. This will require various methods of notification including telephone, email, internal system and vendor service order systems. Ensure such activities are documented in the internal system.

Responsible for conflict resolution that includes appropriately referring dissatisfied customers to an administrator.

Perform updates in system for new or changes in staff assignments to ensure timely access for staff to the internal system and accurate reporting information.

Define and develop criteria for reports for data integrity and process improvement in conjunction with the department administration and IT support personal, including preparing, presenting, and reconciling monthly/quarterly/yearly reports for various district and school teams.

Collaborate with system vendor and IT for testing enhancements and/or upgrades.

Crosscheck vendor invoices with work orders. Problem solve discrepancies with vendors.

Support department administration and team in the prompt renewal of vendor contracts agreements.

Develop and collaborate with internal team and other district staff to create efficient business processes, training and guides.

Develop and maintain department files and general correspondence.

Maintain Translation Services website.

Perform other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required, plus post-secondary coursework equivalent to one (1) year of college.

EXPERIENCE: 2-3 years customer service/secretarial experience to include computer software experience. Preferred experience with an educational related position (teacher, tutor, school secretary).

SKILLS, KNOWLEDGE, AND EQUIPMENT: Requires strong communication, customer service, judgement and decision-making, phone etiquette and advanced computer knowledge (Microsoft Office, internet, email and calendar applications) along with general office machines at time of hire. Obtain knowledge of internal system within one (1) month of hire. Must have a high degree of attention to detail to ensure accuracy.

CERTIFICATES, LICENSES AND REGISTRATIONS: Valid Colorado driver license.

SUPERVISION/TECHNICAL RESPONSIBILITY: This position has no supervisory responsibilities. Position serves as a department resource regarding requests for written translations and oral interpretation.

CONTACTS: Position requires daily contact with persons in Translations Services, ESL/Dual Language Department, Communications, Superintendent, School Success, Student Success, Human Resources plus Security.

SAFETY TO SELF AND OTHERS: Medium exposure to self to repetitive motion injuries due to keyboarding. Low exposure to self to cuts and bruises due to typical office accidents.

WORK ENVIRONMENT: The noise level in the work environment is usually moderate.

MENTAL FUNCTIONS: The employee is regularly required to analyze, communicate, copy, coordinate, use interpersonal skills and compile. The employee is frequently required to compare, instruct, compute, synthesize and evaluate. The employee is occasionally required to negotiate.

JUDGEMENT AND DECISION MAKING: Requires judgement, decision-making, and analytical skills to determine manner and operational steps necessary to properly handle inquiries and perform daily tasks within professional standards.

DIVERSITY OF DUTIES: Position will be in contact with District departments and outside agencies. Position requires tact and diplomacy to maintain relationships, resolve problems, and negotiate matters often involving high confidentiality in a timely manner. Technical skills will require cross training.
