COMMUNICATIONS COORDINATOR/EXECUTIVE ASSISTANT

Our Essex High School is seeking a Communications Coordinator/Executive Assistant to work collaboratively with the Principal in creating and maintaining positive communications efforts with staff, community, state organizations, and media; assist the Principal by coordinating and performing a variety of general and specialized key administrative and clerical support functions; coordinate Principal communications; maintain positive public relations; and to assist with other school office functions as requested.

Positions pays $19.71/hour and offers a competitive benefits package including family medical and dental insurance; term life insurance; retirement plan with up to 6% employer contribution; tuition reimbursement; and paid leaves.

Essential duties and responsibilities include the following. Other duties may be assigned:

- Coordinates the communication between the Principal and students, faculty, staff, parents, alumni, vendors, and/or other key department constituency:
- Creates and distributes regular communication.
- Coordinates the work of EHS Alumni Association.
- Sends information/press releases to local media, and maintains positive media relations.
- Oversees the preparation of copying, editing, layout, photography, production, and distribution of district publications including newsletters, brochures, fliers, bulletins, news releases, handbooks and correspondence.
- Posts Breaking News and announcements on the school web page and Twitter account as necessary.
- Communicates using a variety of social media platforms (e.g. Front Porch Forum, Websites, Twitter, Facebook).
- Develops, updates and maintains a variety of web-pages within the school site
- Communicates regularly with district offices, public education associations, community organizations, media representatives, and others outside the school/district in carrying out assigned functions.
- Communicates regularly with the school administrators, staff, faculty, families, and students to plan and coordinate programs/activities, exchange information, investigate and resolve problems, and the like. Informally represent the Principal to various internal constituencies, referring unusual problems or issues directly to the Principal as appropriate.
- Assists with the development and execution of various communication strategic plans and key messages related to special projects.
Assists with the development, management and implementation of the school's budget:
- Coordinates the school's budget development process in accordance with the timeline and expectations set by the Chief of Operation;
- Coordinates, initiates, prepares, processes, and/or monitors various financial/administrative/operations forms, records, reports, schedules, and other documents, ensuring timely and accurate completion of documents by other District personnel and/or outside individuals/organizations;
- Processes purchase orders;
- Oversees and helps to manage the school's budget ensuring spending is within the budgeted amount; initiates and requests transfers as needed.
- Performs various bookkeeping functions: initiates and processes financial documents related to operating budgets, capital budgets, special accounts, and the like; monitors financial activity; organizes and maintains financial records; collects and disburses funds; prepares related reports.
- Maintains and oversees the student activity accounts; deposits and distributes funds; balances account; generates reports as needed; issues checks.
Serves as administrative liaison with students, faculty, staff, parents, alumni, vendors, and/or other key department constituency: explains policies/procedures; answers various questions; coordinates services; handles special requests or problems.
Provides general oversight to the EHS regular office personnel: assist with training new employees; plan and issue work assignments; monitor work in progress and check completed work; assist staff with unusual or difficult tasks; plan staffing needs, coverage for absences and work schedules; participate in the hiring process for new office staff.
- Confers regularly with immediate supervisor, other department, school and District personnel, and/or various outside individuals/organizations to plan and coordinate activities, exchange information, resolve problems, and the like.
- Answers the main line and all incoming phone lines for the Principal; greets visitors; assists callers and visitors as appropriate; redirects callers or visitors or takes detailed message if unable to assist; schedules appointments; returns phone calls as requested; etc.
- Designs, implements and maintains currency and completeness of departmental filing, databases, record keeping and reporting systems, including computer applications.
- Assists with the development, update, maintenance and distribution of various written documents related to Principal functions, such as agendas, memos, general forms, reports, procedure manuals and other informational materials as needed or requested.
- Participates in planning activities and special projects related to Principal functions, with a focus on: researching and/or compiling background information/data; drafting outlines, policies, procedures, schedules, forms, and other related material; creating and running specialized reports; coordinating the implementation of new program plans or operating policies/procedures/schedules; and the like.
- Organizes and coordinates various Principal activities/events: Schedules appointments, organizes and coordinates facilities and other meeting arrangements, makes and coordinates travel arrangements, organizes and coordinates staffing, advertising/promotion, picks up supplies/materials/food, and the like.
- Provides other general office functions for the Principal: Opens and properly distributes mail for the Principal daily; photocopies, collates, labels and distributes a variety of written materials as requested; types, proofs and edits correspondences, reports and other materials upon request; regularly drafts routine correspondence for signature.
- Assists with general office work as needed or requested: answer phones and perform reception duties; type/print using word processor correspondence, reports, etc.; order office supplies; maintain appointment calendars; set up meetings; photocopy; screen and distribute mail; and the like.
- Uses discretion in handling confidential information and maintains professionalism. Helps to enforce professional behavior and maintenance of confidentiality with other EHS office staff.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily, in addition to the following:

- Education and Experience. Bachelor's degree in communications, public relations, business administration or related field, plus two to three years of related experience, or a combination of training and experience from which comparable knowledge and skills are acquired. Previous experience in public relations, journalism, marketing, administration, communications, and/or special event planning preferred. Previous supervisory experience desirable including assigning and training staff.
- Language Skills. Ability to read and interpret documents such as policies, operating practices, and procedure manuals. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from families, students, community members, board members, administrators or employees of organization.
- Mathematical Skills. Ability to calculate percentages, proportions, averages, and other concepts of basic algebra.
- Computer Skills and Experience. Strong technical background including proficiency with word processing programs, Google applications, graphics design programs, presentation programs, web-site platforms and social media.
- Reasoning Ability/Mental Requirements. Demonstrated ability to use discretion and independent judgment. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret and apply a variety of instructions/policies/procedures/practices furnished in written, oral, diagram, or schedule form.
- Other Personal Characteristics. High accuracy & attention to detail. Strong organizational skills. Proven ability to work effectively without specific direction, and with minimal supervision.
- Good general understanding of public education organizational and governance structures desirable. Understands the importance of establishing relationships and creating a maintaining a strong network both within and outside the organization.
- Communication Skills. Excellent oral and written communication skills (clear, accurate, articulate, concise, proper grammar). Communication is timely, courteous, respectful and tactful. Excellent listening skills.
- Interpersonal Skills. Effectively works with others, including those with opinions or beliefs different from their own. Interacts with others in a friendly, tactful and positive manner. Works through differences in a respectful manner without drama. Sensitive to the feelings of others. Treats others with dignity and respect. - Team Player. Proven ability to work cooperatively and effectively as part of a team. Ability to work cooperatively and effectively with peers, subordinates, supervisors, parents, and outside agencies.
- Organizational Skills. Strong organizational skills that reflect the ability to prioritize multiple tasks seamlessly with excellent accuracy & attention to detail.
