JOB TITLE : Engineering Records Technician I

REPORTS TO: Senior Supervisor, Design, Construction and Improvement

GRADE : 03 (Full time; 12 months)

Starting Salary : $17.71 to $22.59 per hour, per the ESPBC - Education Support Professionals of Baltimore County pay scale, effective July 1, 2019.

DEFINITION : Prepares, maintains, and updates complex technical and cost accounting databases and spreadsheets related to design and construction projects. Researches, gathers, and prepares data for reports, forms, and presentations. Delivers engineering documents within and outside of the Baltimore County Public Schools system. Performs other duties as assigned.

EXAMPLES OF DUTIES :

Maintains data regarding the status of design and construction projects. Receives and maintains project information from the State, County, and departmental staff.

Prepares, maintains, and updates technical and cost accounting databases and spreadsheets.

Organizes, processes and tracks: 1) "Use of Facilities" request forms, 2) "Special Project" requests, 3) "7330" requests, and 4) Public Information Act requests from the Office of Law. Coordinates closely with other departments and school administration in support of these processes and adheres to all related deadlines.

Works closely with the Department of Facilities Management Budget and Accounting Office to participate in tracking project costs.

Maintains and operates complex filing systems for the maintenance, storage, and retrieval of engineering and construction records and related documents.

Uses data from engineers and project managers to complete documents required by the Interagency Committee on School Construction. Prepares, assembles, and sends documents to the State and other agencies. Serves as a liaison regarding the required documents.

Gathers information and data required for various reports. Uses automated systems such as AMS and Microsoft Project, to research, gather, and present data.

Prepares presentations using PowerPoint. Creates charts and graphs from data. Operates an automobile to deliver construction documents to and from office sites.

MINIMUM QUALIFICATIONS :

Education, Training, and Experience : Possession of a high school diploma or appropriate equivalent, plus three years of office clerical experience.

Experience with engineering and construction documents is preferred.

Licenses and Certificates : Possession of a valid class C Maryland driver's license or an equivalent is required.

Knowledge, Skills, and Abilities :
Knowledge of office practices and procedures. Knowledge of personal computers and office software packages. Knowledge of database software.

Skill in maintaining databases, spreadsheets, and logs. Skill in setting up and maintaining filing systems. Skill in gathering and compiling information for reports. Skill in processing documents and transactions. Skill in operating personal computers and related office equipment. Skill in managing deadlines and working within time constraints. Skill in coordinating efforts with internal and external customers.

Ability to communicate effectively. Ability to follow rules and regulations. Ability to establish and maintain effective working relationships.

PHYSICAL AND ENVIRONMENTAL CONDITIONS :
The work of this class is generally sedentary and performed in an office environment. Work includes the operation of office equipment, including personal computers, and occasional limited physical activities.

Full-time; 12 months

FLSA STATUS : Non-Exempt

Eligible for membership in the Baltimore County Employees' Retirement System.

Citizenship, residency or work VISA in United States required.

Pre-Employment Requirements:
  • All persons employed by the Baltimore County Public Schools, regular and temporary, are required to be fingerprinted and have a criminal background investigation (State of Maryland, Senate Bill 315, effective October 1, 1986) completed. The fee charged for fingerprinting is $81.00. An identification card will be issued which must be shown prior to employment.
  • Anyone offered employment is required to provide proper identification and documentation of eligibility for employment in the US.
  • If you have military experience you will be asked to provide a copy of DD214.
  • Official transcripts for all higher education must be received prior to hire.
  • Some positions will require employees to undergo a physical examination and/or drug testing.
  • All newly hired personnel must attend a Badges and Benefits session.
  • Additional job verification will be required for salary credit.
