SUMMARY:
This position maintains and updates student attendance records at a secondary school. The position admits students who have been absent, alerts school administrators of student attendance problems, and maintains computer records. The position also provides secretarial assistance to support main office activities.

CONTEXT AND MISSION:
Highline Public Schools serves approximately 19,000 students in the communities of Burien, Des Moines, Normandy Park, SeaTac, Boulevard Park and White Center Heights in Washington State. ESSENTIAL DUTIES AND RESPONSIBILITIES

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. - Admits students who have been absent, arrive late or leave early from school; review excuses and ensures authenticity of signatures. Confronts students who have unexcused absences. - Answers the telephone; receives calls from parents/guardians concerning students who will be absent or tardy. Calls parents to confirm absences. Maintains schedule information to track students' whereabouts; sends for students as needed for emergency phone calls or authorized office visitors. Maintains emergency contact information for each student. - Receives attendance information from teachers; enters absence information on computer; prints attendance listings. Prepares daily absence bulletin; updates bulletin throughout the day. - Maintains attendance files of written excuses from parents, doctors and other sources. Provides information as requested concerning individual student attendance records. Coordinates homework assignments for absent students. - Prepares monthly enrollment reports as assigned; prepares interim reports as requested. May assist in maintaining enrollment records.

JOB DESCRIPTION:
SECONDARY ATTENDANCE SPECIALIST - Sends letters to parents concerning absence problems. Types and mails suspension and discipline letters written by vice principal. Distributes copies of letters to appropriate staff members. - Provides first aid medical care to ill or injured students in the health clinic; contacts parents and arranges for transportation as needed. Administers medication as authorized. - Oversees work of student office assistants. Trains students in attendance office procedures; assigns and reviews tasks; assigns grades. - Types correspondence forms and memoranda for vice principal or other staff. Formats and types school newsletter. - Answers the telephone; provides information or routes caller to appropriate staff member; takes messages. - Issues lockers to students; maintains records. - Receives monies for student activities; writes receipts. - Responds to first aid emergencies. Other Functions - Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

MINIMUM QUALIFICATION


EDUCATION AND EXPERIENCE:
High school diploma or equivalent Two years of secretarial experience and records maintenance

CONDITION OF EMPLOYMENT:
Criminal background clearance First Aid/CPR certifications within 90 days of hire and maintain certification Attend trainings as needed to stay current

KNOWLEDGE OF:
General secretarial procedures Data entry skills School attendance system School district computer system School board policies and procedures
