Please note that this position is based out of our New Bedford location in New Bedford, Massachusetts.
This role plays a central role in ensuring that both students and families have a wonderful experience at our schools and have everything they need to succeed. In addition to serving as the coordinator of school administrative systems and routines, this role is the primary contact for all of the school's constituents and the first impression for those entering the building. This role must be able to communicate effectively with students, teachers, families, trustees, donors, and visitors.  This person is also directly responsible for student enrollment and application tracking. The Office Manager is an entry-level position on our school operations team, and reports to the Director of School Operations (DSO); recent college graduates are encouraged to apply.
An Office Manager and Enrollment Coordinator at a City on a Hill School has the following responsibilities:
Office Management:
  • Greet and check-in all City on a Hill visitors in the front office, and help ensure safety of students and staff
  • Ensure that the Front Office is kept tidy and professional
  •   Answer main school phone line and direct calls/take messages as needed
  • Draft and distribute all school-related communication, including mailings, electronic communication, and phone/robo-calls to students, families, and staff
  • Collect and record all cash receipts for the locker deposits, uniform payments, student lunch payments and other fees and extracurricular fund raising and submit weekly to the finance office
  • Support the DSO in implementation and operationalization of school systems
  • Copy and distribute bathroom passes to Lead Teachers
  • Create lists of awards (Honor Roll, Attendance Awards, Class Awards, and Advisory Awards), create awards, and import awards into the Student Information System (SIS) each quarter
  • Order and track all front office supplies, including all storage and closets, and receive/distribute all incoming mail and packages
  • Provide coverage for members of the Operations Team as needed
  • Execute other administrative duties as assigned by the DSO or other member of the Leadership Team
  • Belief that every student, regardless of background, can and must achieve academically at high levels
Student Data Management:
  • Serve as school attendance coordinator: make daily phone calls to families when students are absent, including following up with families of students who have been absent on consecutive absences, and manage student attendance records. Ensure adherence to network wide attendance policies and compliance with DESE student attendance regulations
  •   Input all student data with the support of the City on a Hill Data Team
  • Collaborate with the DSO to manage record requests
  • Create and maintain records of all student IDs
  • Support the DSO in maintaining all student, teacher, and testing schedules
Student Enrollment:
  • Keep accurate tracker and records of key enrollment information in applicant/ enrollment database, including offers made, expiration of offers, waitlist, acceptances, etc.
  • Manage the processes surrounding school lotteries, including acting as school administrator for our enrollment software (i.e. SchoolMint)
  • Gather and track all necessary application related documentations
  • Engage and train student ambassadors to participate in the recruitment process
  • Under the direction of the DSO, update and amend (as necessary) the enrollment plan, and provide requested data for DESE reports as needed
  • Under the supervision of the DSO, develop and enhance city specific recruiting strategies, including supporting the planning and execution of recruiting events
  • Engage with prospective students and families, and encourage them to attend City on a Hill schools
  • Other duties, as assigned by the DSO or School Leadership Team Member
Required Qualifications:
  • 1-3 years of teaching or administrative office experience preferred
  • Able to work from 7:30am - 4pm, Mondays - Fridays at our CoaH New Bedford campus. Occasional evening or weekend hours required. 
  • Detailed-oriented, strong follow-through skills
  • Ability to take initiative, prioritize tasks, and work independently
  • Excellent communication skills, both verbal and written
  • Excellent computer skills, including Google Apps
  • Displays maturity and ability to work independently
  • Experience with PowerSchool or similar SIS preferred
  • Demonstrated flexibility, maturity and ability to juggle competing priorities
  • Communicates well with others and demonstrates strong interpersonal skills with students, parents, colleagues and community members
  • Ability to maintain a calm, professional demeanor in the face of competing demands and external pressures
  • Prior experience working in schools and/or urban communities is preferred
  • Demonstrate discretion when dealing with confidential matters and information
  • Flexibility and a sense of humor
  • Enjoys working with children of all ages
Preferred Qualifications:
  • Associates or Bachelor's Degree
  • Experience working in an office in a customer service setting
  • Experience working with school-aged students
  • Strong attention to detail and consistent follow-up
  • Ideally fluent in Portuguese or Spanish; additional language competences preferred
