Position Outcomes :
To provide the efficient and timely scheduling of qualified substitute teachers on a daily basis during the school year and to provide general Human Resources support to the district.

General Responsibilities :
This position provides qualified and trained substitute teachers to academic departments using the Aesop substitute management application and facilitates the interaction between faculty, staff and substitute teachers. This person is responsible for maintaining the substitute teacher pool, training substitutes in the content of the substitute teacher handbook, and providing support for emergency requests and complicated assignments. In addition, this position supports the district by providing general Human Resources assistance in the areas of school-wide and targeted Human Resources communications, including collective bargaining, data collection and analysis, report generation, and day-to-day Human Resources activities. This position also requires the employee to be aware of and maintain the highest level of confidentiality regarding all issues in the department.

Qualifications :
  • College degree or equivalent experience.
  • Experience with substitute scheduling and automated substitute systems (Aesop preferred).
  • Experience with Human Resources information/database systems (Skyward preferred).
  • Experience with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience in school-related Human Resources.

  • Ability to assemble and organize data and prepare reports from records.

  • Position Expectations :
  • Provides efficient and timely substitute teacher coverage for the district staff:
  • Uses Aesop substitute scheduling system to schedule substitute teachers.
  • Coordinates semi-monthly substitute employee payroll with the Business Office.
  • Maintains a pool of qualified substitute teachers.
  • Trains substitute teachers using the substitute teacher handbook.
  • Keeps substitute teacher handbook current.
  • Provides emergency support and solutions to complicated requests.
  • Trains staff to follow substitute processes and use automated systems (Aesop).
  • Provides ongoing communication to departments and staff regarding substitute process.
  • Collaborates with departments and staff to provide excellent substitute coverage and improve the substitute teacher process.
  • Stays current in laws and guidelines concerning substitute teacher licensure and employment status.
  • Maintains electronic and paper personnel files for substitute employees.
  • Provides support staff substitute coverage such as clerical or registered nurse, as needed.
  • Coordinates orientation and other events for substitute teachers.
  • Provides general Human Resources support:
  • Welcomes staff and others to the Human Resources office.
  • Generates correspondence and handles documents related to confidential matters (such as discipline, legal matters, and negotiations) as directed.
  • Prepares an office calendar/schedule that reflects contractual requirements and deadlines and assists the Human Resources Director in meeting those deadlines.
  • Keeps track of and sends out all contractual deadline notifications related to support staff
  • Processes tuition reimbursement requests.
  • Prepares work permits for employees under age 16 as needed.
  • Facilitates support staff evaluation process (communication, tracking, and reporting).
  • Provides data analysis and reports using the Human Resources database (Skyward).
  • Provides support for special events (support staff orientation, and Northwest Personnel Administrators meetings).
  • Provides basic accounting and purchasing tasks for the Human Resources department.
  • Works with other members of the Human Resources Office staff to complete projects of a joint nature.
  • Exhibits a positive attitude and projects a positive image to parents, students and staff.
  • Performs other duties as assigned by supervisor.
