The Supervisor, Registrar and Student Records supports school administrators and manages the records team by facilitating the processing of requests for withdrawals and requests from outside agencies, and performing routine administrative duties. The position also performs related activities including facilitating the approvals for Certificates of Enrollments, CA Work Permits, Entertainment Permits, verification of enrollments, and data entry into appropriate information databases.

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES: The below State ments are intended to describe the general nature and scope of work being performed by this position.   • Maintains files and information regarding school records in an organized manner;
  • Fulfills records requests for withdrawn students within prescribed time frame(s);
  • Serves as primary point of contact for families, teachers, staff, and other schools for official document requests (i.e., transcripts, copies of diplomas, permissions and enrollment forms);
  • Ensures team compliance with the Family Educational Rights and Privacy Act (FERPA) and provides training about FERPA for records team;
  • Collaborates with enrollment team as needed to ensure documents are accounted for;
  • Ensures requests are logged appropriately and facilitates processing of requests for records from outside School Systems/Agencies within the prescribed time period;
  • Communicates with parents tactfully and with sensitivity, recognizes and maintains confidentiality in job-related matters;
  • Reviews current standard operating procedures and revises as necessary; responsible for creating or improving processes and procedures for the records department;
  • Other duties as assigned.

Supervisory Responsibilities: Directly supervises 1-3 Full-time Equivalent (FTE) regular employees and 1-2 seasonal contractors. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Are you driven by excellence to deliver instruction, support and guidance, manage the learning process, and focus on students' individual needs? If selected, you will participate in a comprehensive new teacher training program for three weeks before the start of school. It is an opportunity to meet colleagues and learn the responsibilities required for delivering curriculum in an online environment. During this training you will also learn how to monitor student progress through K12's learning management system, and to be a partner actively working with students and parents to advance each child's learning. Requirements
Minimum Required Qualifications
  • High School Diploma or General Educational Development (GED) AND
  • Three (3) years of records experience including some supervision OR
  • Equivalent combination of education and experience
Other Required qualifications
  • Microsoft Office (Outlook, Word, Excel, PowerPoint, Project, Visio, etc.); Web proficiency.
  • Demonstrated organizational skills and knowledge of systematic filing procedures
  • Ability to function as part of a team of office professionals
  • Good verbal and written communication skills
  • Ability to use web-based database programs to enter and monitor education information
  • Ability to perform multiple tasks
  • Ability to pass required background check
Desired qualifications
  • Associate's Degree or higher
  • Two (2) or more years of supervisory experience
