Within the Office of Diverse Learner Supports and Services (ODLSS), the Coordinator, Business Operations, will be responsible for facilitating, coordinating, and providing support for all business units and special projects. The Coordinator will be tasked with ensuring that work flows and processes are efficient and running smoothly, managing minor projects, and providing as-needed support to the business operations staff.

This position will ensure that business practices provide CPS with sustainable internal operations which impact greater student achievement and success.

The Coordinator, Business Operations will be held accountable for the following responsibilities:

  • Manage incoming phone calls/issues through Service Anywhere (SAW) and brings items to proper closure

  • Document, analyze, and create efficiencies for ODLSS processes and procedures

  • Manage Homebound program's day-to-day operations

  • Process payments for non-public schools

  • Provide Related Services Provider (RSP) administrative support such as validate RSP license credentials for public and non-public schools through state licensing agencies such as the Illinois State Board of Education (ISBE) and the Illinois Department Public Records (IDPR)

  • Collaborate with teams to research Freedom of Information Act (FOIA) requests and provide corresponding documentation to appropriate CPS units

  • Assist with creating purchase orders and processing payments for non-public facilities for Room and Board, Drug Treatment and other Residential Facilities, and Transportation

  • Process enrollment and invoicing approval for drug treatment programs

  • Manage confidential student records requests, including delivery and recall of records

  • Cross train within all ODLSS administrative units to provide an additional level of customer service, service responsiveness and improve resource allocation

  • Ensure that the resources that are paid with Diverse Learning funds are only performing duties consistent with their job descriptions

  • Work on additional duties as deemed appropriate by the Administrative Manager or designee including department mail distribution



In order to be successful and achieve the above responsibilities, the Coordinator, Business Operations, must possess the following qualifications:

Type of Education Required :

  • Graduation from an accredited college or university with a Bachelor's degree.



Type of Experience and Number of Years :

  • Minimum of 2 years work experience in a coordinating role; prior CPS experience, system knowledge, and/or Individual Education Program (IEP) experience is a plus.



Knowledge, Skills, and Abilities :

  • Ability to successfully manage multiple tasks requiring minimal supervision while adhering to quality standards

  • Ability to work in a fast paced environment, respond immediately to multiple constituencies and meet continuous critical deadlines

  • Strong analytical, organizational and excellent oral/written communication skills required

  • Providing exceptional customer service to all stakeholders

  • Ability to communicate effectively with all stakeholders and deliver content expertise in a professional manner.

  • Expert user of Microsoft and Google suite of tools. (Word, Access, PowerPoint and Excel)

  • Knowledge of CPS systems (Oracle, PeopleSoft, IMPACT, Kronos/TKC) is a plus

  • Attention to detail and accuracy
