General Description

2019-2020 SCHOOL YEAR

Provides secretarial support to school office. Performs variety of clerical duties within established procedures and standard practices. Serves as primary receptionist. Work is under general supervision and requires coordination with others. Some specialized knowledge of the department is required. Contacts are made within and outside the organization and may require dealing tactfully with individuals on sensitive issues. Accuracy and exercise of sound judgment is required.

Essential Job Functions

  • Screens visitors, telephone calls and incoming mail; personally answering inquiries which in the employee's judgment do not require the supervisor's attention.
  • Assist with tardy processes.
  • Assists with Raptor System.
  • Maintain/update daily bus/transportation information.
  • Distributes postal and pony mail.
  • Backup for student attendance, Data Steward, Grade Quick, student registration.
  • May serve as backup for Time and Attendance and bookkeeper.
  • Responsible for summer School Registration.
  • Maintains cumulative and confidential records for all students.
  • Acts as information specialist to public, students and faculty regarding a variety of matters related to school operations and policies.
  • Maintains good rapport with students, staff and parents.
  • Prepares reports and furnishes information requested from within and outside the organization.
  • Performs clerical and routine work required to ensure the efficient operation of the school office.
  • Performs other duties as assigned.

Qualifications

Working knowledge of office practices and procedures; the school or department's programs; business English and mathematics. Working skill in typing, operating personal computers, word-processing equipment or other automated office systems. Demonstrated ability to perform a variety of clerical duties for one or more professionals; communicate effectively both orally and in writing; exercise judgment and work with all levels of the school or department. Education, training or experience sufficient to demonstrate the required knowledge, skills and abilities.
