PURPOSE OF JOB: To effectively handle and process technology procurement requests from school buildings for the purchase of equipment, supplies, and services related to educational technology.

Maintain requisition approval routing tree of the Enterprise Resource Planning (ERP) system.

Processing e-orders and cancellations.

Maintaining the files and records of the procurement services department both on the network and hard copy files.

Analyze, identify and follow up on problems that relate to the daily processing of requisitions.

Ensure accurate and timely processing of all requisitions in compliance with existing policies and procedures.

Supervises contract employees within the Department of Technology in accordance with Department of Technology policies and goals.

Provide training, mentoring, and coaching to staff.

Assist in analyzing purchasing reports.

Assist in identifying, analyzing and resolving system issues.

Assist in expediting of existing orders to track open orders and ascertain their delivery status.

Cancel inactive orders to reduce invalid encumbrances.

Prepare monthly and quarterly reports.

Establishes and maintains a chart of accounts for all transactions required to be processed for each school site. Maintain all accounting documents in a secured location in the Technology Department.

Develop and document business processes.

Prepare monthly reports disclosing detail transactions for the Technology Department and school site technology purchases.

Processes all school site orders of materials and supplies using the ERP system.

Monitor outstanding purchase orders, process receipt of goods and services on-line using the ERP system.

Stay familiar with Federal funding compliance as it relates to technology (software and hardware)

Cross-trains with other staff in the District on duties related to business and finance.

May attend annual training on business functions related to using the ERP system.

Maintains technical knowledge by attending educational workshops and reading accounting publications. Make recommendations to supervisor on ways to improve accounting for the Technology Department.

Maintains and protects accounting records by keeping information confidential.

Contributes to the team effort by accomplishing job objectives. Performs other duties as assigned.

Provide efficient communication and excellent customer services to internal and external customers

Collaborate with Purchasing to coordinate and organize bid documents and processes

Collaborate with Inventory staff to identify and track capital outlay (equipment)

All other duties as assigned.


Associate Degree in Business, Business Administration, or related field

Good communication and analytical skills

Ability to perform mathematical calculations

Ability to work collaboratively to achieve specific objective

Preferred Qualifications:

Bachelors Degree in Business, Business Administration, or related field

Knowledge of the Alio system

Experience with the procurement process

Proficient in Microsoft Word, Excel, and Outlook.

Experience in obtaining price quotes

Knowledge of basic accounting/bookkeeping
