Role Mission:
The San Antonio Project Manager supports the Executive Director with implementation of logistical tasks and critical projects and initiatives. The Project Manager creates and maintains systems that enable senior leaders to work efficiently (setting meetings & operating mechanisms, prepping events & professional development sessions). He/she also tackles projects in coordination with senior leadership, including collaborating, analyzing, performing Outcomes-Causes-Solutions analyses, defining proposed solutions & presenting/teaching with organization leaders and staff. The work of the Project Manager entails being assigned to organizational challenges, studying the challenge, and putting in motion action plan s that produce a solution. S/he will provide support to other senior leaders (Vice Presidents of Schools, Regional Director of Operations & Chiefs), as deemed necessary by the E D .

Accountabilities
  • 80% of San Antonio Lead Team agree that IDEA is a Great Place to Work.
    • Work closely with E D on a weekly/daily basis to help prioritize time and support of management
    • Gather & provide weekly data for ED & Vice Presidents for use in check-ins and tactical meetings
    • Develop and implement operating mechanisms to increase effectiveness of daily morning huddles, weekly tactical meetings, and quarterly step back meetings

  • 80% of regional staff have necessary tools & resources to efficiently and successfully complete their work.
    • Manage regional culture by operationalizing ( a nd maintaining/ tweakin g) agenda and execution of weekly regional meeting s for over 50 regional staff members
    • Coach and manage the office receptionist, including onboarding, training, and other support
    • Establish / monitor implementation of communication protocol w / parents & other stakeholders
    • Coordinate and schedule PD , including managing requests for office space as needed
    • Maintain regional office, including inventory & office supplies and allocation of office space
    • Play a key role in the design of the new regional office space
    • Collaborate with HR & SALT to ensure region has all essential materials to support daily work

  • 100% of regional headquarters trainings and senior level events meet expectations.
    • Work closely and collaborate with organization-wide logistics coordinators (Executive Assistants, Project Managers, Training Coordinators) to ensure regional logistics meet expectations
    • Work with Human Assets, Operations, AST business partners to create, implement, and analyze surveys following events and trainings in order to continuously improve PD's
    • Onboard and orient new support team members to responsibilities and IDEA culture
    • Coach / manage Events Coordinator in the implementation of regional PD
    • Support regional advisory board partnership by creating agenda, locking in op mechanisms for rehearsals, drafting presentation materials & selecting facilitators for quarterly board meetings

  • 100% of Executive Director presentations, meetings, and speeches are prepared on time and meet expectations
    • Prepare and/or edit presentations and talking points for ED's regional & external meetings (board meetings, step backs, progress towards goals, growth documents, etc.)
    • Manage and expand on existing special projects or initiatives
    • Managing ED's Executive Assistant to plan annual strategic budgeting plan

  • Collaborate with Lead Team members (VPs, RDO, etc.)
    • Coordinate with and support R DO in visiting potential school sites, analyzing demographic need within the region, and establishing processes for regional growth
    • Partner with HQ business partners on school strategy initiatives
    • Meet weekly with VP's to review regional data, identify areas of concern, and propose solutions
    • Lead regional budgeting approval process for new HQ roles in coordination with E D and SALT
    • Assemble and coordinate project teams and manage project resource allocation as needed


  • Retention of office staff (Receptionist, Executive Assistant, Training Coordinator)
    • Manage staff development cycle for office staff, including goal-setting, 2x2 feedback, and APR's
    • Conduct and manage onboarding of new office staff
    • Lead and support training and/or professional development of office staff

    Supervisory Responsibilities
    • Directly manages regional office R eceptionist, Training Coordinator, and E xecutive Assistant

    Qualifications:
    • Bachelor's degree required/ 2+ years of experience preferred
    • Exceptional written and oral communication skills
    • Experience working in an education system preferred
    • Proven track record of personally achieving success and of leading others to ambitious outcomes
    • Teaching experience preferred


    Knowledge and Skills:
    • Experience collaborating with school and office leadership to prioritize the highest-impact work and ensure goal attainment
    • Experience implementing critical projects & initiatives and PD based around individual and/or organizational goals
    • Management of projects across multiple teams or stakeholders
    • Strong written and verbal communication skills
    • Microsoft 360 proficiency


    Compensation:
    • Salaries for this role typically fall between $54,200 and $67,000 , commensurate with relevant experience and qualifications. This role is also eligible for a performance bonus based on individual and organizational performance and goal attainment.
