Administrative Assistant to the Assistant Superintendent and Director of Curriculum

ADMINISTRATIVE ASSISTANT TO THE ASSISTANT SUPERINTENDENT OF SCHOOLS AND DIRECTOR OF CURRICULUM
QUALIFICATIONS:
1. Candidate must have an Associate's degree and/or formal training in a business program or related field.
2. Candidate must have work experience as an executive assistant, administrative assistant, office manager, or similar experience.
3. Candidate must have demonstrated ability to organize, implement, and coordinate complex, multi-phase projects and tasks.
4. Candidate must have demonstrated strong interpersonal communication skills and public relations skills.
5. Candidate must demonstrate the ability to type using a word processing program at an advanced level (i.e. 60-70 words per minute).
6. Candidate must demonstrate skills of advanced word processing, desktop publishing,
Google applications, presentation slides, spread sheet design and data base applications.
7. Candidate must demonstrate proficiency in oral and written communication.

REPORTS TO: Assistant Superintendent of Schools and Director of Curriculum

SALARY: Admin Secretary II Salary Schedule ($33.66 - $35.77 per hour)

GENERAL DESCRIPTION:

The Administrative Assistant to the Assistant Superintendent of Schools directs and coordinates the workflow of the Office of the Assistant Superintendent of Schools. This includes overall office and task management such as scheduling and coordinating appointments and meetings; organizing the calendar and task requirements; the secretarial and organizational skills required for the efficient operation of the office; monitoring and responding to report deadlines; and scheduling office work assignments as necessary.

This Administrative Assistant position is also at times responsible for providing support service to the Board of Education on behalf of the Superintendent of Schools. The processing of sensitive and confidential information is a requirement of this position and therefore discretion and independence are required.

The Administrative Assistant to the Assistant Superintendent must demonstrate flexibility and self-direction with ability to independently make good decisions about prioritizing assignments, completing tasks, and providing communication on behalf of Central Office Administrators. It is also essential to apply creative problem-solving skills to the full range of responsibilities associated with this position.

WORK SCHEDULE: Full time employment, 12 month assignment.

DUTIES AND RESPONSIBILITIES:

The Administrative Assistant to the Assistant Superintendent and Director of Curriculum

1. Administrative Assistance
  • Manages the work flow associated with the office of the Assistant Superintendent and Director of Curriculum, including reports to the Board of Education
  • Maintains administrators' calendar of appointments and routines
  • Manages the budgeting timeline, process, and cycle of due dates and reports
  • Prepares informational reports and other communication tools as directed
  • Drafts responses to routine correspondence
  • Prepares slide presentations at the direction of administrators
  • Oversees the tuition reimbursement and salary advancement process, special project agreements, purchase orders, and other budget related routines and paperwork
  • Plans and organizes location, materials, and refreshments for district-level meetings and conferences
  • Researches, analyzes and edits data required, completes state and federal reports and assignments, under deadline pressure, with speed and accuracy

  • Works in a collaborative style with all constituents associated with the Office of the Assistant Superintendent

  • Develops efficient and organized files and data systems as required for effective office functioning
  • Maintains the financial records and state/federal reports, as required


3. Other Responsibilities as Necessary and Assigned.

*Evening work sessions may be necessary requiring a flexible work schedule to complete assigned tasks.

WORK SCHEDULE: Full time employment, 12 month assignment.
