Role Mission :

The role of the Risk Management Coordinator is to support the Director of Risk Management and with effectively delivering risk management programs and services across the organization. S/he is responsible for providing administrative support for full-scale risk management portfolios involving IDEA's property and casualty insurance portfolio including claims administration support, process and policy support systems to ensure mitigation of risk and losses to the organization and safe/risk free environment for all.

Accountabilities:
  • 100% of claims processed and closed within 60 days of claim event
    • Support Director of Risk Management with development and implementation of claim process across each insurance plan, collaborating cross-functionally as needed (student accident, workers compensation, builders' risk, auto, etc.)
    • Assist Director of Risk Management with tracking of all open claims for the organization and ensuring proper follow up
    • Collaborate with department leaders and claimants during the claims process to ensure information is gathered necessary for claim approval and payment
    • Assist with claim communication involving internal and external parties as requested by Director of Risk Management
    • Assist with the development of administrative procedures and other documents related to risk management, safety, loss control, and other areas of potential liability.
    • Assist with compiling accurate data for periodic, monthly, and annual Risk Management reports.
    • Appropriately handle confidential matters/information discreetly and professionally


  • 98% of Certificates of Insurance (COI) provided within 48 hours of request
    • Monitor and respond to risk management inbox and respond to all requests of COIs
    • Support Director of Risk Management with process improvements regarding timing of COI responses
    • Assist in the communication and policies for COI requests and responses, including internal and external stakeholders
    • Work with insurance brokers to receive information on time


  • 98% Zendesk tickets responded to within 48 hours and with 90% satisfaction rate
    • Support development of Zendesk ticketing system for Risk Management function and areas
    • Monitor daily Zendesk tickets from staff and leader and provide resolutions
    • Stay up to date on Zendesk functionality and provide input into continuous improvement strategies based on feedback and customer evaluations
    • Ensure data reported by Admin. Services Data & Systems Manager is an accurate reflection of information received by risk management team


  • 100% of insurance policy/program invoices are paid on time and within budget for all IDEA entities
    • Create and track policy plans and invoice payment dates; upcoming document on a monthly basis with new plans and expirations
    • Correspond and collaborate with business office, insurance broker and insurance policy carriers for the timely submission and payments of invoices
    • Conduct monthly reviews with business office to ensure invoices have been paid


  • Support Risk Management Department in mitigating risk and loss across IDEA
    • Receive and direct mail and electronic correspondence to Director of Risk Management,
    • Actively support in the documentation gathering across departments during annual renewals
    • Support Director of Risk Management with planning and execution of broker meetings, policy review meetings, IDEA leader quarterly risk management performance review meetings and strategy meeting
    • Closely monitor annual operating calendar to ensure site visits and all planned activities occur in advance and within planned budget
    • Support logistics and programming for risk management related trainings and meetings
    • Support content development and delivery to keep information relevant and up to date on HUB site

    Qualifications:
    • Education: Bachelor's Degree or equivalent experience preferred
    • Experience: 3-5 years in a Compliance/Risk Management or clerical capacity


    Knowledge and Skills:
    • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
    • Knowledge of Tyler Munis
