Role Mission: The Development Coordinator will play a critical role in enabling the development team to reach its overall fundraising goal of $75M by providing crucial database, financial, reporting, and internal meeting support to daily team functions. The person in this role will do this by leading on gift processing, expense processing and financial management, data analysis & reporting, and logistical scheduling support.

Development Team Structure Overview :

As part of the broader Advancement team, the Development team is the fundraising arm responsible for matching aligned donors to support IDEA's expansion campaign, push programmatic innovation and support IDEA students to matriculate to and graduate from college. The Coordinator will be a member of the Development Operations Team to support external-facing development officers by creating efficiencies across the team so Development VPs and Directors can maximize their time on relationship development efforts.

The other branches of the Advancement team include Growth (leading IDEA's expansion into new communities) and Advocacy (garnering support of legislators to ensure IDEA h as funding equal to traditional public school funding).


  • Manage the entry and reporting of 100% of gifts and pledges with accuracy into Little Green Light (LGL) database for the development team, resulting in 100% accurate and timely donor reporting and acknowledgment.
    • Record 100% of development team gifts and pledges within 1 business day of receipt with all appropriate documentation
    • Notify appropriate stewards of all pledge and gift receipts and task them, as necessary, in LGL to send personal thank you correspondence as necessary for 80% donor retention
    • Send appropriate gift and tax receipts /acknowledgments to donor within 3 business days of gift receipt
    • Run gift and pledge report used in weekly tactical meetings to track fundraising progress to goal
    • Run weekly error reports to hold national development team accountable to consistent database input/management
    • Manage stakeholder lists for internal and external use (e.g. annual report, year-end appeal and event lists)

  • One hundred percent of development team members', for whom the coordinator supports, financial transactions are in compliance with Advancement Team and Business Office expectations and policy so budget remains on-track
    • Reconcile corporate credit cards for Vice President of National Development, Vice President of Regional Development , Vice President of Advocacy, Vice President of Growth and other Development team members (approximately 10) on a weekly basis, identifying missing receipts & documentation and coding transactions to the appropriate budget codes so 100% of corporate credit cards are reimbursed monthly
    • Manage 100% of team-wide travel arrangements, mileage reimbursements, expense reimbursements and per diem requests
    • Input all national and regional team purchase requisitions in Tyler Munis accounting system and ensure timely payment of all vendors
    • Coordinate purchase of entire development team supplies and stewardship items, as needed
    • Coordinate the purchase and delivery of stewardship items and cards for holiday and year-end campaigns

  • Schedule logistics, secure meeting space, coordinate and deliver agenda and materials for 100% of team strategy meetings, tactical meetings, quarterly meetings and professional development sessions in advance to ensure logistics, travel and meeting information are communicated to all participants at least 3 days in advance
    • Coordinate and schedule all 48 weekly development team tactical meetings and meeting follow up
    • Coordinate and schedule all 4 development quarterly meeting logistics for both regional and national development teams
    • Coordinate and schedule all development team trainings and professional development
    • Support content creation for all development team meetings and professional development
    • Coordinate and schedule logistics and travel for internal meetings

    • Education: Bachelor's Degree
    • Experience: 2 years professional experience, preferably in education, or within a nonprofit

    • Experience utilizing relationship management software preferred

    Salaries for this role typically fall between $36,800 and $43,323, commensurate with relevant experiences and qualifications. This role is also eligible for a performance bonus based on individual and organizational performance and goal attainment.
