Description
Location: District Service Center (meaning not in one of our school buildings)
Reports To:
Director of Equity and Student Achievement and Director of Bilingual Services.
Interrelationships:
Works closely with all District staff, building staff, families, community members and vendors / business contacts.
The position requires strong organizational, project management, and customer service skills. Candidates must be bilingual and biliterate (Spanish/English).
Position Duties:
Essential Job Functions:
1. Communication:
*Direct telephone correspondence with appropriate contacts within the district.
*Maintain contact information, staffing lists, e-mail lists and other personnel information within the department and update as needed.
*Maintain electronic schedules for the Director of Equity and Student Achievement and the Director of Bilingual Services to facilitate the scheduling of meetings in and out of the district.
*Work with staff in departments across the district to facilitate student and family engagement and ESL/Bilingual services.
*Prepare correspondence in English and/or Spanish with families, staff, and other agencies or contacts via e-mail, formal written correspondence, over the telephone, and face-to-face.
*Support the district translator/interpreter and bilingual student and family engagement specialists in communicating with families in Spanish.
2. Budget and Purchasing:
*Process purchase orders, purchasing card transactions, mileage and timesheets for the departments.
*Track and manage department budgets.
3. Program and Curriculum Support:
*Prepare documents and information needed for staff or community outreach trainings and meetings.
*Schedule meeting rooms and ensure that all needed materials and/or equipment are available and in working order.
*Collect information and conduct research regarding curricular materials and instructional programs.
*Request, manage, and order instructional materials for preview, pilots, and program adoption.
*Order, distribute, and manage state testing and other materials.
*Process conference registrations and travel arrangements for the department.
*Work with directors to design and implement coordinated systems and procedures for work being done by teams.
4. Maintenance of Data:
*Develop and maintain spreadsheets or other systems of information management and manipulation as needed.
*Utilize student information systems to complete and generate user-friendly reports as requested.
5. Information Maintenance:
*Adhere to strict confidentiality of employee and student information.
*Prepare materials for interviews including scheduling, copying of employment information, interview questionnaires, rubrics and reference materials.
*Maintain organized records of evaluations, correspondence, and other information.
*Maintain records of all state reports related to English Language Learners and related grant applications and other federal or state reports.
*Access, update and complete information or documents within the district's student information management system as it relates to English Learners.
