General Description

Provides complex administrative support for the Department of Human Resources. Work is performed under general supervision without specific instruction. Specialized knowledge of the department's functions is required. Contacts are made at all organizational levels within and outside the department and division, requiring the handling of sensitive or controversial information and/or dealing tactfully with the public. Requires independent planning and coordination with others; considerable judgment is required.

Essential Job Functions

  • Performs a variety of assignments of routine matters and ensures the efficient operation of the office. Assists Human Resource Administrator and Coordinator of Human Resource as needed.
  • Schedules appointments, maintains appointment calendar, schedules meetings, interviews, etc. for the assigned administrator.
  • Prepares and places job postings, announcements and advertisements for vacant positions, utilizing applicant tracking software, newspapers, journals, and other publications. Submits screened applicant information to hiring supervisor or administrator. Closes position postings, notifies applicants not selected.
  • Coordinates the interview process, i.e. orders food/supplies and prepares interviewer packets, etc.
  • Collects and maintains applicant and hiring data as required by law.
  • Processes employees for orientation, schedules pre-employment processing and orientation date, prepares orientation packets, collects and reviews required new hire paperwork for completion.
  • Answers routine questions regarding employment policies and procedures for current and former employees, applicants and outside agencies, directing non-routine matters to the appropriate individual.
  • Assists in Job Fair Recruitment Day through preparation, setup at site and organization of materials afterwards.
  • Serves as back-up for the Administrative Assistant, Sr. to the Assistant Superintendent of Human Resources/Administrative Services.
  • Responds to inquiries from within and outside the school system; establishes and maintains working relationships with other offices, schools, governing agencies, media and vendors; coordinates with other departments and processes work requests needed by staff.
  • Processes correspondence to administrative employees such as contracts, amendments, resignations, retirements, transfers, etc. Ensures departments impacted by these actions are notified.
  • Plans and maintains the calendar for new employee orientation, coordinating with other departments, and conduct orientation as needed. Works with the Appomattox Regional Governor's School for orientation of their new hires for orientation/benefits information.
  • Coordinates with the County Medical Center the process for all TB tests for new employees as needed.
  • Coordinates student teacher background checks and maintains student teacher informational database. Maintains excel file for payment reconciliation.
  • Serves as a resource to others; assists with general clerical work, data entry and records management. Performs other duties as required.

Qualifications

Considerable knowledge of office practices and procedures; the department's policies and procedures and school division programs. Working knowledge of HR processes, records management and regulatory requirements. Working knowledge of basic bookkeeping and general accounting principles and practices. Working skill in operating personal computers, utilizing spreadsheets, word processing and presentation software (Google Suite, Word, Excel and Powerpoint preferred). Demonstrated ability to maintain databases and provide routine reporting; edit work for proper grammar, spelling and punctuation; manage office activities and administrative work; to interpret and apply policies and procedures; to communicate effectively both orally and in writing; to exercise judgment and to work effectively with all levels of the organization and the public; to lead the work of others and work effectively with a variety of people. Must be flexible and able to multi-task with ease.

Requirements:

GED or High School Diploma. Experience in administrative support work in a Human Resources program preferred. An equivalent combination of training and experience that would provide the required knowledge, skills and abilities.
