General Description

Under general supervision, works collaboratively with division staff to evaluate and validate or design/redesign business processes. Works to improve, as necessary, entire business processes to ensure the processes are efficient and user friendly and outcomes correspond with the division's strategic goals. Provides analytical and administrative management assistance by planning, conducting studies and special projects, implementing recommendations and training employees in systems and processes.

Essential Job Functions

  • Works collaboratively with division managers and leadership to understand current processes and desired outcomes to determine if improvements are required in a business process
  • Serves as a technical advisor and provides support to staff on the division's current software packages
  • Understands how processes work to contribute to the School Board's goals and strategic plan
  • Plans, organizes and coordinates various projects, programs and services involving diverse administrative operations; provides technical expertise to improve processes or develop improvements through automation and/or other process improvements; recommends and assists in installing improved administrative methods, procedures equipment and facilities.
  • Assists in ensuring that the administrative functions of the department or program(s) which assigned are effectively carried out; this may include analysis, reconciliation, report preparation, training, and account/program monitoring
  • Documents process improvements for training and internal audit purposes
  • Analyzes data to develop trends and recommend action
  • Focuses on innovation and continuous improvement
  • Conducts and manages special assignments, projects and initiatives on behalf of the division as assigned
  • Provides training and support to staff on the division's accounting and payroll system
  • Manages a business improvement process to include working with a department(s) to define the desired improvement and outcome; documents the improved process and training staff on the process
  • Performs other duties as assigned.

Qualifications

Considerable knowledge: Google products, Microsoft Office products, school division operations, flowcharting of processes and process development; training design and development; adult learning theory, organizational development theory; needs analysis and evaluation techniques; the principles, procedures and standards related to the operations that are required to provide professional-level analytical assistance in all operational areas of the division; development and evaluation of administrative/management systems, functions, policy and procedures; and/or major program evaluation and planning.

Demonstrated ability to: manage large projects, make decisions and work independently; plan and organize work, work with all employee groups; communicate effectively, orally and in writing; present recommendations to employee groups or workshops, teambuilding techniques and to conduct small and large group facilitation; analyze organizational and administrative issues and recommend and implement an effective course of action; conduct complex analytical studies and prepare analytical reports; use technology to improve processes; develop and maintain effective working relationships with internal and external customers.
Requirements

Bachelor's degree in business or public administration, accounting, finance or a related field; two years of experience in providing professional-level administrative, analytical and/or operational support; advanced skills in Google applications and Microsoft Office. An equivalent combination of education and demonstrated related experience may be accepted in lieu of preferred level of education.
