TITLE: ACCOUNTING COORDINATOR FOR PURCHASING
REPORTS TO: Director of Accounting and Business Services
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Reviews all purchase requisitions for appropriateness, accuracy of account information, and available funding.
• Contacts Principals or Department Heads for clarification on any requisition.
• Refers unresolved matters and/or concerns to the Director of Finance & Business Operations.
• Converts or enters purchase orders as needed and work with other support staff to ensure timely and accurate entry of orders.
• Provides key support for the implementation of the decentralization of the MUNIS purchase requisition/purchase order process.
• Monitors open purchase order reports for aging of orders and follow up with Principals/Department Heads and/or Vendors to close out unfilled orders.
• Monitors Expenditure Reports to liquidate balances on purchase orders that have been filled and paid.
• Assists procurement process under the State and Local procurement regulation, including drafting specifications, preparation of Invitations to Bid, Requests for Proposals, advertising, opening and recording bids.
• Maintains schedules of procurements based on expiration of contracts.
• Sets up activities up on the online payment system in RecTrac
• Processes free-reduce lunch applications
• Tracks lunch program negative balance and contacts families with negative balance as needed
• Orders and tracks Central Office supplies
• Provides backup for the Facilities Rental Coordinator.
• Performs any other duties as assigned by the Assistant Superintendent for Finance and Operations or the Director of Accounting and Business Services.
MINIMAL QUALIFICATIONS
• Experience in all aspects of purchasing, particularly in a school district, municipality or other governmental entity, required.
• Bachelor's Degree in Accounting or Related Field preferred.
• Proficient in Excel and Word required.
• Experience with MUNIS required.
• MCPPO certification preferred.
• Excellent written and verbal communication skills required.
• Ability to work as part of a team required.

While performing the duties of this job, the employee is required to stand, walk, and sit. The employee is regularly required to see, talk, and hear. The employee is regularly required to use hands to manipulate, handle, or feel. The employee may occasionally move equipment or supplies. Employee is occasionally required to drive. Employee is regularly required to handle stressful situations and resolve conflicts. Specific vision abilities required for this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. The job primarily is performed in a school department setting; the noise level is that of a typical office environment.
TERMS OF EMPLOYMENT:
1. Twelve-month position
2. Eight hours per day, extended hours may be frequently required
3. Satisfactory criminal background check
4. Verification of good health to perform the job
5. Annual performance evaluation conducted by the Director of Finance & Business Operations
