    The Office Manager manages a team responsible for providing clerical, administrative and secretarial support. The position also handles the recruitment, selection and onboarding of temporary staff, develops policies and procedures that improve operational efficiency with an emphasis on student records and record keeping, and directly provides a wide-range of general administrative services that support school administrators.

    Supervisory Responsibilities: Directly supervises 3-6 Full-time Equivalent (FTE) regular employees and/or contractors. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

    • Assigns clerical, administrative and secretarial responsibilities and tasks among office staff; Allocates resources to enable task performance; Coordinates office staff and activities to ensure maximum efficiency;
    • Plans, monitors and evaluates staff performance; Trains, coaches and disciplines office staff;
    • Directly responsible for managing all K-8 registrars, High School Registrars, School Based Enrollment Document Processors and Office Administrator; including responsible for all office staff timesheets and time off requests
    • Works with staffing agencies to recruit and select temporary office staff; Orients and trains contractors; Terminates individual contractor positions as appropriate;
    • Ensures adherence to office policies and procedures; Monitors and analyzes internal processes; Designs and implements new office policies and procedures and updates existing to improve operational efficiency;
    • Designs and implements filing systems for student records; Establishes procedures for record keeping; Monitors and ensures filing systems are maintained and current; Streamlines various procedures for retention, protection, retrieval, storage and disposal of records where applicable for evolving efficiency;
    • Responsible for maintaining and entering 45 day screening reports
    • Oversees inventory and maintenance of all office equipment and supplies; Reviews and approves office supply acquisitions; Maintains postage meter, mailing and package shipment supplies; Manages all package/shipping and office services with third party vendors;
    • Responsible for Office Depot account included but not limited to approvals, orders, staff account sent up, monthly billing and reporting of all charges to Accounts Payable
    • Responsible for corporate credit card included but not limited to; track all charges and approvals for charges. Also responsible for reporting all charges to Accounts Payable
    • Assists in maintaining contact with families, teachers, administration and other community members; Supports administrators with local enrollment processes; Helps distribute school-wide communications approved by administrative team; Coordinates various annual mass mailings;
    • Maintains, processes, and oversees all financial related items including processing invoices, PO's, reimbursements, and checking.
    • Oversees the Registrar who conducts withdrawals, attendance, and re-enrollments
    • Provides general administrative support by handling telephone system and coordinating and updating the automated phone tree; setting up conference calls, meetings, and office functions both on and off-site; ensuring all conference rooms, kitchen and general traffic areas are clean, safe, and in order; greeting visitors and coordinating their visits to the office; keeping a daily office administrator schedule, etc.

Requirements


    • Bachelor's Degree AND
    • Two (2) years of related experience OR
    • Equivalent combination of education and experience

    • Microsoft Office (Outlook, Word, Excel, PowerPoint, Project, Visio, etc.); Web proficiency.
    • Strong organizational and time management skills
    • Experience using a student information system and/or other type of database
    • Working knowledge of digital phone systems (PBX or others)
    • Strong written and verbal communication skills
    • Ability to pass required background check
