Role Mission: The mission of the Fixed Asset Accountant is to ensure proper financial reporting and compliance with Generally Accepted Accounting Principles as well as State and Federal guidelines related to Fixed Assets. The Fixed Asset Accountant will report to the Director of Accounting and be located in Weslaco, TX.

Accountabilities

  • Serve as a consultant to IDEA employees for guidance relating to Fixed Assets.
    • Keep current on new and upcoming standards.
    • Attend trainings provided by AICPA, TSCPA, TASBO, TEA and Region One.
    • Keep IDEA Accounting HUB site up to date with changes related to Fixed Assets.
    • Update the Fixed Assets Manual annually.


  • Complete the month end close process for Long-Term Debt, Fixed Assets and Construction in Progress (CIP) by the dates outlined in the Month End Close Processing Checklist.
    • Drive strategies to prepare and post recurring journal entries before the first business day.
    • Drive strategies to prepare and post journal entries related to Long-Term Debt, Fixed Assets, and CIP as identified in the Month End Close Processing Checklist.
    • Review Long-Term Debt, Fixed Assets and CIP accounts for accuracy.
    • Investigate and correct invoices and/or transaction coded inappropriately.
    • Reconcile accounts related to Long- Term Debt, Construction in Progress and Fixed Assets by the dates outlined in the Month End Close Processing List.
    • Work with other departments to ensure all information/documentation regarding Long-Term Debt, Fixed Assets and CIP have been received.
    • Review related Statement of Activity accounts to determine reasonableness of amounts, detect potential errors and analyze significant variances.


  • Locate 100% of capital assets for campuses in Austin, San Antonio, El Paso and Rio Grande Valley regional offices during the Physical Inventory. Provide the results of the physical inventory to key stakeholders by August 31 st .
    • Drive strategies to collect key asset information for assets received at the campus and regional offices.
    • Drive strategies to ensure that inventory items are entered into the Fixed Asset Software by the 15th business day of each month.
    • Prepare annual and/or quarterly trainings to assistant principals of operations and business clerks to provide guidance regarding labeling and inventory procedures.


  • Manage Sage Planning and Tyler Munis Project Ledger Module to reconcile Construction in Progress (CIP) projects monthly.
    • Reconcile individual CIP projects to the general ledger.
    • Review and reclassify CIP miscellaneous account transactions on a quarterly basis.
    • Drive monthly CapX meetings with Facilities and Budget partners to ensure construction projects are completed and funded correctly.
    • Report accurate monthly bond fund balances to management by the last day of each month.

    Qualifications:
    • Education: Bachelor's degree in accounting or finance-related field required
    • Experience: 1-3 years of accounting or related fixed assets preferred


    Knowledge and Skills:
    • Non-profit accounting and auditing principles established by the Financial Accounting Standards Board (FASB) for Not-for-Profit Organizations
    • The Texas Education Agency Financial Accountability System Resource Guide to financial accounting and reporting for nonprofit charter schools
    • Computerized accounting systems

    Ability to:
    • Analyze and interpret financial data
    • Evaluate accounting problems, develop data, and recommend improvement procedures
    • Use personal computer and software to develop complex accounting reports, spreadsheets, and databases
    • Work with numbers in an accurate and rapid manner
    • Effective communication and interpersonal skills
