The Opportunity

About the Operations Associate Role

The realization of our mission to prepare students for college and career can only be realized when our school's operations run like a well-oiled machine. Marry your passion for details with your passion for social justice. The Operations Associate's primary skill set includes the ability to organize systems that serve as the "backbone" to the school's daily operations while also being a skillful communicator and relationship builder with staff, students, and families. This includes management of custodial staff, oversee day-to-day and long-term facilities needs, student registration and enrollment, and food service support. All of this is in service of the school mission, ensuring that every child achieves college and the career of his or her choice. We currently have one opening for an Operations Associate at Lighthouse.

Roles and Responsibilities:
  • Facilities Management & Campus Safety Oversight:
    • "Own" the Facility: Oversee day-to-day upkeep of facility in compliance with applicable regulations and codes along with the delegation of tasks to the custodial team or contracting with the necessary vendor(s).
      • Primary coordinator and communicator to ensure custodial team's timely completion of facility tickets to address maintenance issues.
      • In coordination with Director of Operations, being point for long-term facility retrofits/improvements.
      • Coordinate Building usage (internal and external scheduling needs, involving coordination between multiple stakeholder groups);
      • Serve as point of contact for outside vendors during work onsite, occasionally required on weekends and/or when school is not in session.
      • Place furniture/materials orders for the maintenance of the facility and classrooms;
      • Oversee the distribution and tracking of keys and access for staff.
      • Complete daily facility walkthroughs (internal/external) to identify areas out of compliance and/or needing attention from custodial team or outside vendor.
    • Emergency Coordinator: Oversee processes and programs related to emergency preparation. This includes maintaining safety plans and serving as Site Commander during school emergencies or drills, and coordinating with other school leaders for drills and coordination of plans.
    • Campus Safety and Supervision Coordination: Coordinate, communicate with, set expectations, and hold accountable the school site team to supervision expectations.
    • Event coordination: Serve as point of contact for the facility for internal and external events
  • Staff Supervision & Team Management:
    • Hire, supervise, train, coordinate, coach and support the school's Custodial team members and/or Campus Safety Supervisor to meet operational needs for a safe and beautiful campus.
    • Regularly meet with custodial team as a whole and individually and hold end of quarter evaluations to assess performance and support rising needs for each member.
  • Student Enrollment Coordination:
    • Serve as the local coordinator for enrollment and registration process. This includes maintaining the application and registration platform for a specific site (i.e.., running public lottery, managing wait list, etc) and coordinating registration events for interested families.
    • Lead the intent to return process in collaboration with front desk personnel and family recruiter to support upcoming year enrollment.
  • Collaboration & Communication:
    • Regularly meet and communicate with site Directors and program leaders to coordinate operational needs and review protocols/policies in order to ensure a smooth academic program and safe campus.
    • Collaborate with additional stakeholders as needed to align norms and processes related to student safety and alignment of student expectations.
    • Oversee and send out the weekly staff communication newsletter.
    • Model highly responsive and customer service oriented communication with all stakeholders and your team.
  • Additional Responsibilities
    • Food Service Coordination: Serves as on-site point person for coordination of changes to lunch orders/schedules, special events, and health inspections and ensuring kitchen staff are in compliance with health codes.
    • Data Management: Serving on data management team and support with local student data in the Student Information System as delegated.
  • Other responsibilities, as assigned by supervisor

Minimum Qualifications:
  • A.A. or equivalent required, B.A. or B.S., preferred
  • Bilingual in Spanish, required
  • 2+ years experience in office or facilities management or related position
  • 2+ years experience in managing others or leading teams, highly preferred
  • Experience working in schools or with youth and families, preferred
  • Experience with Google Apps


Time Commitment:

This is a 12-month full-time exempt position with an immediate start date. This role is expected to maintain minimum building hours of M - F from 7:30am-4:30 p.m., availability for off hour responses related to facility and/or team member needs, with occasional hours during weekends/evenings (e.g., registration meetings, lottery, special school events, and facility point person in order for work to be completed when school is not in session.)

Compensation

At Lighthouse Community Public Schools we take good care of our employees. We provide a competitive compensation and benefits package, including a competitive salary and generous health and retirement benefits (100% employee health coverage/50% for dependents; 8% employer matching for retirement program; medical and dependent FSA). Starting salary range: $52,500-65,000 depending on experience.
