Role Mission: The Area Superintendent supports Executive Directors across Texas, Louisiana, and Florida, as well as provides coaching to Vice Presidents of School. The role of the Executive Assistant is to support the Area Superintendent in logistics, planning, and execution as well as ensure that Schools Team and Executive Leadership Council events are executed with strong vision, planning, and contribute to a high quality experience. The Executive Assistant will also manage the business office functions and travel support for assigned Executive Directors.

Accountabilities:

  • 100% of business office responsibilities completed within deadline, resulting in on-time payments, reimbursements
    • Outline, share, and follow month-end reconciliation process with leaders
    • Ensure that all purchase card transactions have adequate descriptions and appropriate account codes
    • Monitor reimbursements
    • Request missing receipts from purchase card holders
    • Submit all proper documentation to business office by the 3rd business day of each month
  • 100% of Schools Team Stepbacks, Vice President of Schools Stepbacks, Executive Leadership Council, and other events, as assigned, are executed and deemed high quality from a logistics and budget standpoint
    • Partner with the Executive Assistant to the Superintendent to plan events
    • Lead all training logistics for schools team VPs
    • Manage project plans, relationships with hotels and vendors, and internal stakeholders to meet timelines
    • Manage communication around events, in partnership with others on planning committee
  • Manage Communication and Calendar for the Area Superintendent
    • Monitor email and flag, as appropriate
    • Draft initial communication or follow up communication for review
    • Sit in meetings to take notes, send out notes and next steps
    • Set appointments, travel, and corresponding needs for the Area Superintendent and team


  • 99% of tasks assigned by or for Area Superintendent are reported as performed satisfactorily or very satisfactorily
    • Conserve Area Superintendent's time as best as possible
    • Assist with calendaring and communication of pre-meeting requests and post-meeting follow-ups
    • Plan and execute requested logistics for meetings
    • Assist with travel arrangements
    • Lead cross-team groups to execute on key initiatives, projects, and events
    • Support Schools Team (and cross-team) events, trainings, and meetings as needed for strategic priorities, including biannual stepbacks
    • Other duties as assigned
    • Prioritize conflicting needs, handle matters expeditiously, and follow through on projects to successful completion, often with deadline pressures
    • Anticipate and independently manage the many small, though important, details for daily execution
    • Ensure all assigned tasks are completed by deadline and deliver on all agreed-to commitments and hold others accountable to do the same
    • Provide actionable, timely feedback to partners and be open to receiving and acting upon their feedback
  • Support large scale events, as assigned, to ensure strong experience in logistics and planning.
    • Potentially support New Teacher Institute, New Team and Family Welcome, Back to School Bash, New Leader Institute, among others with committees.

    Qualifications:
    • Education: Bachelor's degree preferred
    • Experience: 2-3 years of comparable experience


    Knowledge and Skills:
    • Proficiency in Microsoft 360
    • Spanish language fluency preferred
