Reports to: Director of Operations and Service Implementation, Office of Special Education

Responsibilities:
  • Assess and direct all communications for the Special Education Administration Team. This includes deciding upon the appropriate actions required and determining the urgency of each situation.
  • Maintain budget and Human Resource files for the Office of Special Education. Creating and updating database of student/employee information for the Extended Year Program and various other programs within the Office of Special Education.
  • Participate in the resolution of potential problems i.e. student assignments, transportation problems, problems with staffing. Work with budget technician inputting requisitions for the Office of Special Education.
  • Serve as liaison for the department to Human Capital, collecting data/information as needed by the Assistant Superintendent or designee to prepare reports pertaining to staffing. Work with various Assistant Directors to assist with clerical and database maintenance needs.
  • Problem solving, including interaction with parents, school-based staff and outside agencies in addressing any problems, questions or concerns regarding Special Education. Assist the team in student placement and budget issues.
  • Decision making, including judging what to do and when to do it. Referring parents and outside agencies to the correct Assistant Program Director or other supervisors so that they may obtain the proper help or information.

Qualifications - Required:
  • High School diploma/GED
  • 1-3 years of relevant work experience
  • Experience with Microsoft Office, including PowerPoint. Ability to utilize Google and/or commitment to learning the Google systems rapidly.
  • Ability to work as a member of a team or independently.
  • Ability to manage multiple tasks simultaneously for different administrators. Professional, able to work well with families, school and central office staff.
  • Strong communication skills: Ability to listen, sort information and communicate concerns to the Assistant Superintendent or designee to support the prioritizing and addressing of problems in a timely manner.

Qualifications - Preferred:
  • Associates Degree or equivalent coursework.
  • Equivalent of three years working in secretarial or clerical capacity.
  • Experience working with Special Education programs and regulations
  • Extensive knowledge of Special Education and Federal and State regulations. Ability to provide training to other support staff regarding Special Education.
  • Strong communication skills.
  • Knowledge of EasyIEP and/or Aspen SIS.
  • Demonstrated skills with Google Sheets and Google Forms and Excel.
  • Knowledge of budget and staffing procedures. Understanding of contractual and legal agreements.

Terms: Managerial, Tier B. City of Boston Residency required.
