Job Description
JOB GOAL: To contribute to the smooth and efficient operation of the Superintendent's Office to maximize a positive impact on the education of students and support to staff.

QUALIFICATIONS:

A minimum of five (5) years of successful administrative assistant experience within a public or private organization's management office preferred

1. Demonstrated ability to effectively communicate with staff, parents and the community
2. Demonstrated ability to collect, process and maintain confidential data related to staff and/or students
3. Demonstrates Strong writing skills and full proficiency with Microsoft Word, Excel and PowerPoint
4. Demonstrated ability to take initiative and work collaboratively with others within a central management office and to complete work with minimal supervision
5. Demonstrated ability to apply sound policies and procedures to executive office work, including maintaining confidentiality, coordinating multiple tasks and scheduling work efficiently - flexibility is a must
6. Demonstrated ability to contribute to a professional office atmosphere and has strong interpersonal and communication skills
7. Demonstrated ability to prepare official correspondence, organize information and generate periodic reports
8. Excellent attendance record is essential
9. A willingness to become independently knowledgeable about the School Department and School Committee

Job Requirements
PERFORMANCE RESPONSIBILITIES:

1. Maintains the highest level of confidentiality related to work and information handled by the Superintendent's Office
2. Leads in all matters of official correspondence and in the generation of any related periodic reports for the Superintendent's office
3. Coordinates professional learning opportunities for school-based and central office administrative assistants
4. Assists in the collection of information to prepare reports and presentations required by the Superintendent, School Committee, Department of Elementary and Secondary Education, or other agencies
5. Handles calendar management and overall executive logistics for meetings and conferences for the Superintendent and School Committee
6. Assists in the organization and preparation of legal information pertinent to the school system
7. Prepares confidential correspondence, and documents and maintains appropriate files. Receives visitors and telephone calls and responds appropriately to requests for assistance
8. Assists in the operation of the school department by developing the school calendar, and other documents related to the opening and closing of the school year
9. Maintains the area of the School Department website related to the School Committee
10. Any other related duties as required by the Superintendent

School Committee responsibilities:
1. Acts as the recording secretary at School Committee meetings and prepares related material for timely distribution. Also, attends some sub-committee meetings as the recording secretary
2. Prepares and posts agendas and minutes as needed in accordance with the Open Meeting Law. Prepares the School Committee meeting calendars and maintains the School Committee Policy Manual

REPORTS TO: Superintendent of Schools

TERMS OF EMPLOYMENT: Non-union, calendar year position, not eligible for overtime
Hours: 7:30 A.M. - 4:30 P.M. (Monday through Friday)
40 hours per week
Salary and benefits will be negotiated in accordance with experience and comparison to similar positions within New Bedford Public Schools
