TITLE: Department Secretary-Early Childhood

JOB GOAL:

The job of the Department Secretary to Early Childhood is for the purpose of providing a variety of secretarial supports to the Early Childhood Department; providing customer service to early childhood families; establishing and maintaining department records; coordinating assigned projects; compiling and distributing a wide range of grant reports for both federal and state performance standards;

ESSENTIAL FUNCTIONS:
  • Perform and complete all data entry functions pertaining to maintenance of early childhood programs
  • Answers preschool phone line to schedule enrollment appointments and answer inquiries.
  • Communicate with building secretaries and site mangers regarding students enrolled.
  • Attends department meetings for the purpose of conveying and gathering information required to perform functions.
  • Maintain files, correspondences, and provide five star service for families, staff and community members that require resources from the department of early childhood.
  • Prepares a variety of correspondence, reports and materials (i.e. Letters, memos, minutes, focus group interviews) for the purpose of documenting activities, providing written reference, and or conveying information.
  • Processes a variety of documents and materials, changes to student sites, summer school applications, mass mailings, etc.) for the purpose of supporting the department operations in compliance with established guidelines.
  • Responds to inquiries from a variety of internal and external parties (district staff, other schools, government agencies) for the purpose of providing information and facilitating communication among parties/ or providing direction.
  • Assist Management team with coordination of projects as needed
  • Set up and prepare for interviews related to the Early Childhood Department-ADD
  • Coordinate and assist with Parent Meetings and Policy Council meetings that are in service to the Early Childhood Department-ADD.
  • Other duties as assigned by the Director of Early Childhood


QUALIFICATIONS:

60-college credit hours minimum

Bachelor's Degree preferred

Strong oral and written communication skills

Strong organizational skills

Current personal computer (PC and/or Apple) experience

Microsoft Office proficiency

Independently, self-starter, advanced problem solving, with particular attention to detail in all aspects of assigned duties

Ability to be flexible and adaptable to the daily needs of the job

Effectively manage time and work with frequent interruptions

COMMUNICATION / ORGANIZATION: Maintains communication with school personnel, and parents/guardians to enhance cooperative action, which will meet the educational needs of students.

Utilizes existing technology effectively in the performance of duties.

Performs other related work as required.

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

LANGUAGE SKILLS: Ability to effectively present information and respond to questions from groups of administrators, staff, parents, students, and the general public.

While performing the duties of this job, the employee is regularly required to sit, walk, stand and talk or hear. The employee must occasionally lift and/or move up to 50 pounds. TERMS OF EMPLOYMENT: 261 days

SALARY: Based on the USD #500 Salary Schedule.

FLSA STATUS: NON-EXEMPT, HOURLY

REPORT TO: Director of Early Childhood

EVALUATION: Performance of this position will be evaluated in accordance with the Board of Education policy on evaluation.
