Background & Overview:

The Office of Social Emotional Learning and Wellness (SELWell) is comprised of the following departments and programs: Athletics (ATH), Behavioral Health Services (BHS), Social Emotional Learning Instruction (SEL), Safe and Welcoming Schools (SAWS), Succeed Boston, Student Health Services (SHS), Opportunity Youth (OY), and the Health & Wellness Department (HWD). SELWell works across departments to provide an array of interdisciplinary services and supports to Boston Public Schools including: professional development, tiered instructional coaching, assessment & data management, program evaluation support, resource development and selection, and crisis responses. Target areas (prevention, intervention, intensive intervention, crisis/trauma response) include technical assistance/implementation, marketing & communications, family engagement, and community partnership brokering & development.

Position Summary and General Responsibilities:

The Assistant Director in the Department of Opportunity Youth will serve as an integral part of department operations, supporting program and project management, and working to advance the department's and office's strategic objectives. The Assistant Director will facilitate the work of the Home and Hospital Instruction Program, Homelessness Education Resource Network (HERN) and Attendance. The Assistant Director will work independently and confidentially to support the Director of Opportunity Youth as well as serve on cross-functional teams consisting of members from the various departments that work within, and interface with, the Department of Opportunity Youth.

Key Responsibilities

Program and Strategic Management
  • Assist in department case management activities by assessing support and service needs; developing, monitoring and evaluating support plans and progress, facilitating interdisciplinary approaches; monitoring staff performance
  • Ensure quality of service delivery and systems through training and management
  • Develop, implement and manage department strategic initiatives and plans
  • Work with other SELWell departments to align work with goals and priorities; ensure alignment to district goals
  • Support the Director in managing external partnerships and relationships, attend meetings with Director as needed; facilitate meetings, represent department, office and district effectively
  • Assess and address concerns including those of a sensitive or confidential nature; determine appropriate course of action, referral, or response
  • Assist in identifying opportunities to develop and deliver high quality professional development to school and district staff
  • Play a major role in the planning and coordination of department external events, such as the annual Attendance Symposium, Home and Hospital professional development and HERN professional development

Operations and Administration
  • Assist Director in grant management, including compliance with grant requirements, meeting deadlines and general budget oversight through utilization of PeopleSoft
  • Assist in identifying potential sources of programmatic and operational financial support, including foundations and state and federal government sources
  • Compile, manage and maintain spreadsheets, graphs, reports based on data collected; and assist in grant and district monitoring requirements by providing reports as requested by the Director
  • Assist with project planning and implementation of related activities
  • Input and track department attendance for payroll, including for the Home and Hospital Instruction Program
  • Manage department's individual, workgroup and staff meeting schedules; Assist with development and implementation of project management tools such as work plans
  • Assist Director with and coordinate the hiring of staff and contract employees
  • Manage, supervise and evaluate Opportunity Youth staff, as assigned by the Director
  • Be responsible for the day-to-day operations of the department
  • Oversee and perform various functions of the department's budget, procurement processes, accounting, payroll, contract and invoicing systems
  • Work with Director to prepare high quality products such as Powerpoint presentations, flyers, brochures, letters that are visually appealing and convey concise yet comprehensive information
  • Perform any related duties as assigned


Qualifications - Required:
  • Bachelor's degree in related field such as Social Work or Education
  • 3-5 years professional experience
  • Experience developing and implementing strategic initiatives
  • Strong leadership, program management and community engagement experience
  • Proficiency with Microsoft programs (Word, PowerPoint and Publisher); proficiency in developing/maintaining websites
  • Excellent planning, project management and organizational skills with a strong attention to detail
  • Able to use discretion and protect confidentiality in student and employee matters
  • Very strong interpersonal skills, ability to develop good relationships and network with various populations; strong written and oral communication skills
  • Proven ability to analyze complex problems and propose appropriate solutions
  • Strong ability to work as part of an active team, work simultaneously on multiple tasks and projects, prioritizing daily activities, and professionally represent division to partners both within and outside of the BPS
  • Enthusiasm for working in a fast-paced environment and flexibility in performing multiple duties that apply to the success of the various grant initiatives
  • Able to attend meetings outside of regular business hours (evenings and weekends) as needed
  • City of Boston resident
  • Current authorization to work in the United States - Candidates must have such authorization by their first day of employment
Qualifications - Preferred:
  • Master's degree in related field such as Social Work or Education
  • 5-7 years professional experience
  • Bilingual, Spanish
  • Knowledge of or experience with PeopleSoft
  • Solid data and financial management skills; demonstrated experience in developing spreadsheets, reports and database management (Excel, Access)
  • Knowledge of or experience with grant administration
  • Experience with digital communications and social media
  • Experience with managing the production of printed material, including brochures, leaflets, working with third party designers/printers to ensure brand and style is met
  • Experience managing and implementing projects
  • Knowledge of administrative procedures in large school district, prefer experience within BPS

Terms: Managerial, Tier D. This position subject to the City of Boston residency requirement.
