ABOUT THE JOB

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Contact parents regarding student absences and work with the program administrator.
  • Send grade reports weekly and correspondence home to parents as needed
  • Assist staff find student locations
  • Assist Registrar with October 1- count, and end of year reports
  • Assist Campus Supervisors, SRO with name identification
  • Assist in Clinic

Requires judgment, decision making, and analytical skills to determine manner and operational steps necessary to properly handle inquiries and perform daily tasks within professional standards. Decision making is guided by Board, District, department, and/or school policies and procedures. Decision making may require collaboration with supervisor, administrators, certificated or classified staff, parents, and/or students. Errors in decision making could lead to the communication of inaccurate data, resulting in loss of confidence in the department, unit, or school. Supervisor is occasionally involved in decision making.

RESPONSIBILITIES

SUMMARY: Under general supervision, provide secretarial support for school/administrator and/or provide expertise
in a specific area/unit function(s).
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Analyze and enter large amounts and varieties of data on computer.
Explain District and school policies/procedures; communicate with students, staff, parents and community members and respond
appropriately to their needs.
Answer telephones and greet visitors; field questions and refer to other personnel.
Develop and maintain functional, efficient filing/record keeping system.
Update student and staff information on an on-going basis.
Maintain helpful, informed, pleasant atmosphere in dealing with students, staff, parents.
Supervise student assistants.
Prepare communiques as need arises.
Compile necessary information and complete required State and District reports.
Assist administrators with beginning and end of school procedures, mailings, special programs.
Assemble and collate materials for registration, graduation.
Assist in maintaining student health plans when necessary and acts as the primary backup to the Clinic Aide.
Perform other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required. Required to complete district medication administration and health room back up training within first month of hire. Annual training also required.
E XPERIENCE: 2-3 years secretarial experience. Experience in department/unit functions preferred.
SKILLS, KNOWLEDGE, & EQUIPMENT: Requires oral and written communications, interpersonal, organizational, public relations, phone etiquette, and advanced microcomputer skills. Ability to handle multiple tasks and deadlines. Ability to maintain confidentiality in all aspects of the job. Operating knowledge of and experience with microcomputers, office software, and general office equipment. May be required to take the District Skills Assessment Test as part of the application process.
CERTIFICATES, LICENSES, & REGISTRATIONS: First Aid & CPR Certificate highly recommended.

CONTACTS: Daily contact with persons within/outside department/building, students, parents, vendors/suppliers, general public, applicants, and/or District advisory committees to maintain relationships, resolve problems, and negotiate matters. May involve routine and/or confidential matters.
SAFETY TO SELF AND OTHERS: Medium exposure to self to repetitive motion injuries due to key boarding. Low exposure to self to cuts and bruises due to typical office accidents.

WORK ENVIRONMENT: The noise level in the work environment is usually noisy.

The employee is frequently required to analyze, coordinate, compile, evaluate, synthesize, and compute. The employee is occasionally required to copy, instruct, and negotiate.
