Position at IDEA Public Schools

Role Mission:

The Camp RIO Events and Retreats Manager will be responsible for recruiting and scheduling adult weekday and all weekend retreat or day groups, including arranging details for their stay. Responsibilities include coordinating any group that will be staying overnight.

Additionally, this person will steward Camp RIO's brand locally and state wide by partnering to design campaigns to bring awareness to the community about the programs offered at Camp RIO. S/he will spearhead Camp RIO's campaigns (camper recruitment and enrollment, adult/weekend recruitment, and fundraising) to success, as well as the execution of programming.

Accountabilities/Responsibilities :

  • Recruit and Coordinate Adult/Weekend and Overnight Groups so that all logistics are managed and aligned 48 hours prior to scheduled arrival.
    • Responsible for scheduling retreat groups and arranging details for their stay.
    • Creates schedules for adult/weekend groups.
    • Assists in coordinating meals and supplies for visiting groups.
    • Provide materials and information to group leaders pertaining to the usage of Camp RIO facilities.
    • Host and provide guest services support to retreat groups on the grounds.
    • Work with other departments to assure group needs are met.
    • Perform general office work associated with group inquiries, reservations, billings, and group's stay


  • Manage Adult/Weekend Group Staff so that all logistics are managed and aligned 48 hours prior to scheduled arrival.
    • Directly manage staff assigned to adult/weekend groups.
    • Plan and execute professional developments to enhance performance of staff with adult/weekend groups.
    • Schedule staff as necessary based on booked adult/weekend groups.


  • Serve as the project manager and business partnership owner for Camp RIO's marketing and recruitment campaigns, leading to ensuring that registration goals are met on time.

  • Summer Camper Recruitment:
    • Work alongside the Summer Program Manager and Outdoor Ed Program Manager to conceptualize the boots on the ground collateral for the upcoming camper recruitment campaign
    • Work with established media partner to plan and place media buys to support camper recruitment campaign. Media plan will include, but is not limited to mass media, digital-display and social, direct mail, and non-traditional media that attracts Camp RIO's target audiences. Media reaches locations outside of the RGV.
    • Track registrations and make adjustments as needed.
    • Execute design, printing, and distribution with Marketing team
    • Schedule and host monthly meetings with department leads to learn their upcoming needs and collect feedback on the work you have partnered with thus far.
    • Goals: 90% (280/312) Total Summer Overnight Camp Registrations are filled by July 15, 2019, the first day of RIO5; 95% (684/720) Total Summer Day Camp Registrations are filled by July 22, the first day of RIO6.


    Outdoor Ed Camper Recruitment:
    • Support Outdoor Ed programming by assisting in recruitment of student groups for school year openings.
    • Goals: 80% (117/146) of 19-20 ODED Camper programming dates are booked by June 15, 2019, and 95% (138/146) of 19-20 ODED Camper programming dates are booked by September 15, 2019.


    Adult/Weekend Recruitment:
    • Develop an outreach plan to recruit adult/weekend groups for camp programming.
    • Execute design, printing, and distribution of materials suitable to adult audiences with marketing team.
    • Goals: 10 weekend groups are booked and paid for by June 1, 2019


  • Collaborate with National Advancement Team in pursuit of raising $2M for Camp Rio capital construction projects.
    • Work alongside the Advancement team to conceptualize and execute the marketing needs for the Camp's fundraising campaigns for the year.
    • Prepare team for potential camp visits and hosting opportunities
    • Represent the camp, as appropriate, at events


  • Maintain electronic content for the promotion of Camp RIO's programs
    • Ensure the website is reflective of the latest editorial content (ongoing).
    • Maintain current versions of social media platforms including Facebook, Instagram, and others as required. Provide regular (at least weekly) updates to all platforms.
    • Maintain content on the HUB to reflect current program offerings.

    Supervisory Responsibilities :
    • This position will additionally assist in the management of a total of 10 instructional guides during the school year.

    Qualifications:
    • Education: Bachelor's degree required (preferably in field of Marketing or Tourism and Recreation Management)
    • Experience:
      • Ability to interact with all age levels. (Camper ages will range between 1 st grade through high school, and ability to work with adult groups is also required.)
      • Preferred experience working around school-age students.
      • Preferred experience in outdoor working environment and studies in Education, Science, Outdoor Education, Tourism, Recreation, or Physical Education.
      • Preferred previous retreat or conference group experience.
      • Ability to work well with a team, as well as be counted on to complete individual tasks as necessary.
      • Supervisory or management experience preferred.
    • Licenses or Certifications: Able to obtain or become certified in First Aid/CPR and possibly Life Guarding. Able to become IDEA-certified as a health aide.


    Knowledge and Skills:
    • Able to work a flexible schedule and work with varying degrees of supervision.
    • Act as a substitute Instructional Guide as needed.
    • Promote healthy partnerships with local and federal ecologically-driven agencies through collaborative efforts.
    • Be a role model to campers and staff in both attitude and behavior.
    • Work duties on camp, including maintenance and cleaning duties as assigned.
    • Other duties as assigned.


    Compensation
    Salaries for this role typically fall between $46,600 and $55,900, commensurate with relevant experience and qualifications. This role is also eligible for a performance bonus based on individual and organizational performance and goal attainment.
