Operations Associate

About This Role...

The Operations Associate is responsible for providing operational support to the organization by partnering and supporting the facilities and service desk team . This is can be achieved by being flexible, creating positive working relationships, and focusing on proactive fulfillment of various service requests. This position is part of the Facilities & Business Services Team and will support the two teams.

Responsibilities ...

  • Display excellent customer service by responding to staff requests in a professional and timely manner , and ensuring that operation al processes and procedures are communicated , understood , and followed.
  • Complete assigned service requests such as : desk and furniture set- up, workstation configurations, coffee machin e s inspection and troubleshooting , organiz e various spaces such as storage room, prepare IT equipment shipping requests , and support staff onboarding/offboarding tasks.
  • Complete conference room configurations and set-up , computer connections, pre-meeting set-up and assist with the use of conferencing technology , submit computer warranty tickets, and assist with new hire laptop builds .
  • Provide daily backup for the Front Desk function by answering telephones and directing calls to appropriate staff members, using multi-line phone systems and various applications, such as Salesforce.
  • Greet visitors, ensure proper security protocols are followed, and connect them with the appropriate staff members
  • Monitor office security system, ensure expected security levels are maintained and report irregularities

Your Skills and A bilities ...

  • Excellent listening skills and a commitment to communicate clearly, completely, and in a timely manner.
  • Proficient in the use of Microsoft Office applications (Windows, Outlook, Word, and Excel); high aptitude for learning new applications , such as access control software , as well as basic technical skills.
  • Excellent problem-solving and troubleshooting skills, and ability to use light hand tools such as drills, screwdrivers, socket wrenches , etc.
  • Must be comfortable in performing various physical tasks that may require moving, bending, adjusting, working under the desk, etc.
  • Must be able to lift/move items weighing up to 65 pounds on consistent basi s
  • Ability to work independently and as a collaborative team member

Your Education and E xperience ...

  • Minimum two years of experience in an office support role such as facilities operations, service desk , or technical call center .
  • Experience supporting internal teams with a high customer service focus
  • Associates degree in business or related field desired; equivalent combinations of education and work experience in lieu of a degree will be considered
