The Early Childhood Intake Manager will provide support in managing the intake and processing of student applications. S/he will be responsible for ensuring that the Federal Head Start and State requirements and protocols are followed when processing student applications, and will follow up with families as necessary to ensure students can be enrolled in a timely and compliant manner.

Reports To: Executive Director and Program Officers

Salary:
Support Exempt, Level 1 (starting at $51, 418/annually)

Qualifications:
1. Bachelor?s degree required.

2. Knowledge and experience in data collection and information processing.

3. Ability to communicate with diverse stakeholders.

4. Strong mathematics skills.

5. Ability to work within multiple databases and utilize a variety of technology tools.

6. Ability to manage a very busy office (phone, email, door buzzer, etc.) while still completing Intake Manager job tasks.

Residency Requirements: City of Pittsburgh Residency Required

Essential Job Functions:
1. Review and process the online Early Childhood Education Program applications to assure that all of the required documents are included.

2. Send out initial communications to families to request missing items / documents from their application.

3. Create reports and utilize all aspects of the Student Registration System (SRC), or the current enrollment software (?).

4. Place funded and tuition students into predetermined spaces in classrooms.

5. Maintain enrollment data on both students who are enrolled and on the waiting lists.

6. Work closely with all Early Childhood/Early Intervention staff to assure compliance with all State and Federal regulations.

7. Maintain communication with all Early Childhood staff in regards to enrollment and placement of students.

8. Attend meetings and trainings as required.

9. Participate in regular conference calls & webinars with the online application system creators to update and maintain the system as needed.

10. Perform other duties as determined by supervisor.
