   License and Certification Qualifications: None required.

Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.

Experience Qualifications: Five years secretarial/administrative or equivalent acceptable experience required.

Skills Qualifications: Demonstrated skills in oral and written communication; demonstrated skills in organization and problem solving; ability to type and perform clerical duties with a high rate of speed and accuracy; proficiency in word-processing, graphics, and spreadsheets with experience using the Microsoft Office Suite; ability to record and issue minutes of meetings; strong mathematical skills; ability to follow oral and written instructions quickly and accurately; ability to detect and correct errors in standard English language usage; excellent telephone and public relations skills; knowledge of state and local governmental operations; ability to analyze existing processes and identify areas for improvement; ability to act as a representative of Gwinnett County Public Schools; and ability to work across functional boundaries and interact with employees at all levels of the organization.

Primary Responsibilities: Provide general administrative and clerical support to the Assistant Superintendent of Curriculum and Instructional Support and assist with functions and activities associated within the Curriculum and Instructional Support Division.

1. Create and implement an effective system of support for the Assistant Superintendent of Curriculum and Instructional Support.
a. Work with and manage concurrent tasks effectively to ensure that priorities are completed, especially those with a deadline.
b. Create and organize meeting details, develop minutes, and prepare correspondence in a timely manner.
c. Review, edit, and organize materials produced to ensure accuracy, timeliness, and conformity to school district standards.
d. Review, edit, and organize calendar for the Assistant Superintendent of Curriculum and Instructional Support.

2. Assist the Assistant Superintendent and other divisional personnel to ensure successful divisional operations.
a. Align administrative priorities with those of supervisor.
b. Maintain an accurate schedule of supervisor's meetings/appointments and ensure supervisor is informed of upcoming schedule.
c. Arrange, coordinate, and schedule time and details for travel, conferences, and other planned events within the division.
d. Develop spreadsheets, graphs, charts, and presentation documents and integrate data from multiple source documents.
e. Assist with divisional budgets and reports as requested.
f. Handle routine matters while supervisor is out of the office and delegate matters appropriately.
g. Receive and sort incoming mail for supervisor.

3. Perform general clerical duties.
a. Maintain an effective and efficiently run office.
b. Apply software and technology appropriately to produce quality documents and materials.
c. Maintain an appropriate production rate and streamline routine tasks to manage time effectively.

4. Perform general financial and accounting duties.
a. Prepare and maintain accurate and timely payroll and financial records and reports.
b. Assist in reviewing budget amendments and travel for accuracy.
c. Assist in preparing and reviewing annual budgets for accuracy.

5. Establish effective public relations among internal and external audiences.
a. Represent the division professionally in all aspects of communication.
b. Assist the public graciously and effectively.
c. Establish professional reputation as businesslike, courteous, and responsive to customer needs.
d. Assist public requesting information with appropriate division personnel.

6. Assist with new projects as assigned.

7. Perform other duties as assigned.

Physical Demands:
While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch.
